Job Title: Sales Operations Specialist

About the Role:
We are seeking a highly organized and detail-oriented Sales Operations Specialist to support the sales team by streamlining quoting, sales processes, and administrative functions. This role plays a critical part in ensuring accuracy, consistency, and speed across quoting, vendor documentation, and sales enablement tasks. You will act as a central hub between sales, finance, operations, and external partners like distributors and vendors.
Key Responsibilities:
- Own and manage the quoting process, including creation, review, and delivery of quotes to customers while ensuring compliance with pricing guidelines and margin targets
- Prepare and complete RFPs (Requests for Proposals) and coordinate responses with internal stakeholders
- Accurately complete and submit vendor setup forms, compliance documents, and other required onboarding paperwork
- Handle incoming distributor requests such as pricing, product info, forms, and deal registration
- Maintain and optimize CRM/ERP systems (Hubspot/Netsuite)
- Create and manage sales dashboards and reports to monitor KPIs, pipeline health, and forecast accuracy
- Support sales reps with administrative needs related to contracts, quotes, documentation, and approvals
- Collaborate with cross-functional teams including Finance, Legal, Service, and Marketing to ensure timely and accurate sales support
- Ensure all processes are documented, repeatable, and scalable; contribute to continuous improvement initiatives
- Provide onboarding and tool training for new sales hires
Qualifications:
- Bachelor’s degree in Business, Marketing, Finance, or related field
- 2–5 years of experience in sales operations, quoting, or business operations
- Strong working knowledge of quoting tools and CRM platforms (Hubspot experience preferred)
- Experience managing RFPs, vendor forms, and distributor documentation processes
- High attention to detail, accuracy, and follow-through
- Strong analytical skills and proficiency in Excel/Google Sheets; BI tools a plus
- Excellent communication and organizational skills
- Ability to manage multiple priorities in a fast-paced environment
- Prior experience in B2B, distribution, or manufacturing, is a plus
