The Administrative Assistant provides high-level business operations and corporate services support to senior leadership within the Technology organization. This role directly supports a VP and two Senior Directors, ensuring seamless day-to-day operations through proactive calendar management, meeting facilitation, travel coordination, reporting, and executive communications.
This position is ideal for a polished, highly organized professional who thrives in fast-paced corporate environments, demonstrates strong judgment with confidential information, and excels at executive-level support and presentation development.
Key Responsibilities
- Provide dedicated administrative support to a VP and two Senior Directors within the Technology organization
- Manage complex calendars, prioritize meetings, and coordinate scheduling across multiple stakeholders and time zones
- Coordinate and facilitate meetings, including agendas, logistics, room setup, materials, and follow-ups
- Prepare and deliver high-quality presentations and documents using PowerPoint and related tools
- Serve as a primary point of contact for internal and external communications
- Screen inquiries, manage correspondence, and route requests appropriately
- Handle confidential and sensitive information with professionalism and discretion
- Arrange domestic and international travel in compliance with company travel policies
- Work with venues, vendors, catering teams, and travel partners for events and offsites
- Prepare expense reports, purchase orders, and budget tracking documentation
- Maintain office supplies, organizational charts, and department records
- Support department moves, equipment coordination, and workspace logistics
- Compile data and prepare special reports, summaries, and leadership materials
- Review documents for grammar, formatting, and overall quality
- Collaborate cross-functionally to ensure smooth business operations
Required Experience & Skills
- Bachelor’s degree with 5+ years of directly relevant experience
- OR equivalent experience based on alternative education pathways
- Proven experience supporting VP or C-level executives
- Strong calendar management and executive scheduling expertise
- Advanced proficiency in Microsoft Outlook, PowerPoint, and Office tools
- Experience creating executive-level presentations and reports under tight deadlines
- Excellent written and verbal communication skills
- Strong organizational skills with high attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Professional judgment and discretion with confidential matters
- Demonstrated flexibility, availability, accountability, and follow-through
Preferred / Nice to Have
- Prior experience supporting teams at Nike or similar large enterprise environments
- Experience supporting Technology or corporate operations teams
- Familiarity with collaboration tools such as Slack and Box
- Event planning or meeting facilitation experience
- Experience coordinating large team meetings or leadership offsites
