Position Overview
We are seeking a highly organized and proactive Business Operations Specialist to support financial operations, owner communication, and internal workflow efficiency within our growing property management company.
This role combines accounting support with high-level client communication. The ideal candidate brings strong attention to detail, financial competence, and a customer-service mindset with a natural ability to build trust and influence conversations.
This is a growth-track position with increasing responsibility over time.
Core Responsibilities
Financial & Operational Support
- Support Accounts Payable processing (data entry, check runs, online payments, mailings)
- Monitor owner balances and flag discrepancies
- Assist with month-end financial review and close preparation
- Maintain vendor records including W-9 documentation
- Support annual 1099 preparation
- Assist with new owner financial setup
- Maintain organized and documented financial processes
- Assist with monthly trust account bank reconciliation
Owner & Client Communication
- Serve as a primary point of contact for owner financial inquiries
- Communicate clearly and confidently regarding statements, balances, and reporting
- Strengthen owner relationships through proactive communication
- Identify opportunities to improve owner satisfaction and retention
- Work collaboratively with the Maintenance Team to coordinate finances for repairs/rehabs
- Insure no owner deficit spending
Customer Service & Growth Support
- Deliver professional, service-oriented communication at all times
- Approach owner conversations with a solutions-driven, sales-minded mindset
- Support onboarding conversations with new property owners
- Help reinforce the company’s value proposition during owner interactions
- Look for opportunities to improve systems that enhance client experience
Ideal Candidate Profile
We are looking for someone who:
- Has 3+ years experience in accounting support, bookkeeping, property management, or financial administration
- Has strong customer service experience and is comfortable speaking confidently with clients
- Naturally builds rapport and communicates with professionalism and warmth
- Has a sales-leaning tendency — able to position value, handle objections, and influence outcomes
- Has excellent Microsoft Office skills with strong Excel experience
- Is detail-oriented and financially competent
- Is proactive and solution-driven
- Is interested in long-term growth within real estate
Pay: $49,264.51 - $59,329.30 per year
