Job Title: Sales Operations Specialist
Position Summary
The Sales Operations Specialist provides direct support to the sales organization by managing quoting, order processing, pricing, opportunity tracking, client communication, and coordination with internal and external partners. This role ensures that all sales activities are executed accurately and efficiently, enabling a seamless client experience and supporting the success of Account Executives. The position requires strong attention to detail, clear communication, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities
Quoting, Pricing, and Opportunity Support
- Prepare accurate and timely price quotes, proposals, and configurations for Account Executives.
- Register and track opportunities, ensuring optimal pricing from distributors and manufacturers.
- Coordinate deal registrations, secure price quotes, and obtain freight estimates with distribution partners.
- Maintain accurate documentation for all quoting and pricing activities.
Sales Order Processing and Tracking
- Place and book sales orders in the ERP system and ensure all required information is complete and accurate.
- Track orders and proactively communicate status updates to internal teams and clients.
- Manage inbound order queues and ensure orders flow accurately, efficiently, and on schedule.
- Support order validation, including shipping addresses, tax requests, client credit card information, and supplier-specific requirements.
Client and Internal Support
- Answer client phone calls and manage general client inquiries.
- Provide documentation, product information, and product comparisons as needed.
- Partner with Sales, Engineering, Operations, Purchasing, and Finance to resolve issues quickly and accurately.
- Initiate technical support requests and coordinate RMA processing when needed.
- Assist Account Managers to ensure they are prepared for client interactions and follow-up.
Reporting and Administrative Responsibilities
- Manage open order reports and provide updates to Sales teams.
- Provide weekly AR aging reports and notify Account Managers of outstanding balances or payment concerns.
- Maintain accurate records of all quotes, proposals, orders, and communications in CRM and ERP systems.
- Identify and communicate urgent issues through email, Teams, or phone to ensure timely resolution.
- Manage personal and shared inboxes to ensure timely follow-up and communication.
Vendor and Product Support
- Find alternative sources for hard-to-find product and provide product suggestions.
- Secure manufacturer documentation or specifications requested by clients.
- Coordinate with distributors, partners, and vendors to support sales requirements.
General Responsibilities
- Maintain accuracy and completeness across all sales documentation.
- Address mistakes and collaborate with peers to improve processes and sharing best practices.
- Assist with cross-department initiatives and special projects as needed.
Knowledge, Skills, and Abilities
- Minimum 2–3 years of experience in sales support, administrative support, or operations.
- Strong organizational skills and attention to detail, with the ability to multitask in a fast-paced environment.
- Excellent written and verbal communication skills, with a collaborative and customer-focused mindset.
- Ability to work independently and take initiative with minimal direction.
- Proficiency with Microsoft Outlook and Excel; experience with CRM/ERP systems such as Salesforce, NetSuite, Business Central, ConnectWise, or ChannelOnline is highly preferred.
- Ability to maintain confidential information and handle sensitive data appropriately.
- Strong work ethic with a positive, solutions-oriented attitude.
