Growing Real Estate Investment firm in Hoboken, NJ is looking for a Business Operations Manager/Specialist to join their growing team. This is a newly created role to support the Director of Business Operations. The ideal candidate would have 5+ years experience in a similar role, who is owning processes and procedures, knowledge of vendor management and QuickBooks. This role is 100% on-site with no remote flexibility. Parking provided, company offers competitive benefits and bonus package.
Duties/Responsibilities
- Manage RFP processes to ensure competitive pricing, service quality, and adherence to company procurement policies.
- Maintain strong vendor relationships, serving as the main liaison for all facilities, office services, and maintenance vendors.
- Review and verify all facilities- and operations-related invoices for accuracy and completeness prior to approval.
- Oversee ordering and inventory of office supplies, equipment, and maintenance materials while maintaining proper documentation.
- Maintain an organized log of office and facilities inventory, ensuring adequate stock levels and timely replenishment.
- Support basic financial recordkeeping, banking tasks, and reconciliation for operational expenditures.
- Assist with maintaining records in Excel and QuickBooks (or similar accounting platforms).
- Serve as the primary point of contact for all internal facilities and maintenance requests across corporate office locations.
- Ensure all work orders are completed accurately, promptly, and in accordance with company quality and compliance standards.
- Conduct follow-up with internal stakeholders to confirm issue resolution and satisfaction.
- Perform weekly on-site walkthroughs of office spaces, meeting rooms, and common areas to ensure professional presentation, safety, and operational functionality.
- Research, evaluate, and onboard qualified facilities, office services, and operational vendors.
- Provide direct support to the Director of Operations with administrative duties, special projects, and day-to-day operational coordination.
- Assist with compiling reports, tracking compliance requirements, and maintaining up-to-date operational documentation.
- Identify opportunities to streamline processes and improve workflow efficiency across the organization.
- Manage daily office operations including correspondence management, meeting coordination, budget tracking, and general office oversight.
- Create, organize, and maintain timelines for ongoing operational projects and future business initiatives.
- Conduct online research related to industry trends, potential business opportunities, and market intelligence to support strategic planning.
- Assist with light support for sales and marketing initiatives as needed, including organizing materials and tracking deadlines.
