Business Operations Manager
Location: In-Person | Full-Time – Sunnyvale, CA
Stage: Series A/B Fintech
About the Role
We're a fast-growing fintech startup and we're looking for a sharp, execution-obsessed Business Operations Manager to work directly with our CEO. This is not a traditional ops role. You'll own everything that keeps the company running smoothly - compliance coordination, corporate affairs, finance operations, legal coordination, vendor management, and more - so our leadership can stay laser-focused on product and customers.
You'll have real responsibility from day one, a front-row seat to building a high-growth fintech, and direct access to the CEO. If you're the kind of person who hates loose ends, gets energy from closing loops, and wants to learn how a company actually operates - this role is for you.
What You'll Own
Finance & Accounting Operations
- Serve as the primary liaison with our external accounting firm - own the relationship, manage deliverables, and make sure nothing falls through the cracks
- Coordinate bill payments, expense management, and treasury operations
- Support tax filings, audits, and financial reporting with external partners
- Maintain financial controls and flag anything that needs leadership attention
Compliance & Regulatory
- Manage the compliance calendar - track filing deadlines, renewals, and regulatory requirements
- Coordinate with external legal and compliance advisors to ensure we stay ahead of obligations
- Own documentation and record-keeping for regulatory purposes
- Research and summarize new regulatory requirements as they arise
Corporate Affairs
- Handle corporate secretary responsibilities - board meeting logistics, minutes, resolutions, entity maintenance
- Manage business registrations, licenses, and insurance renewals
- Own vendor contracts end-to-end: sourcing, negotiation coordination, renewals, and offboarding
General Business Operations
- Identify and eliminate operational inefficiencies - build processes and playbooks so things run without CEO involvement
- Manage office operations and any HR-adjacent administrative work
- Take on special projects as the business scales - the scope of this role will grow with you
Who You Are
- 2–4 years of experience in a role where you owned things end-to-end - startup, consulting, investment banking, or similar fast-paced environment
- You've worn multiple hats and are comfortable context-switching between finance, legal, ops, and admin in the same day
- Low ego about doing the "small" things, high standards for doing them right
- Strong written and verbal communication - you'll be representing the CEO in correspondence with vendors, advisors, and regulators
- You close loops. If you say you'll handle something, it's handled
- Genuinely curious about how businesses work and hungry to grow into more senior responsibilities over time
- Comfortable working in ambiguity and building structure where none exists
Strong Plus:
- Familiarity with AI tools (Claude, ChatGPT, Notion AI, etc.) and a habit of using them to work faster and smarter
- Prior experience at a fintech, financial services, or regulated business
- Exposure to compliance, legal coordination, or corporate governance
What This Is Not
- A strategy or consulting role - you'll be in the weeds, not writing decks about the weeds
- A siloed function - you'll touch every part of the business
- A role for someone waiting to be told what to do
Why Join Us
- Direct access to the CEO and visibility across the entire business
- Real ownership and responsibility - not a support role
- Front-row seat to scaling a fintech from $100M valuation to what comes next
- Competitive salary and meaningful equity
- Fast path to senior responsibility for the right person
We're an in-person team. This role is based at our office full-time.
