Exergy3 is a pioneering company specialising in ultra-high temperature thermal energy storage technology, with a mission to drive the decarbonisation of heat across Europe and beyond. As we grow, we're looking for someone exceptional to become a
trusted go-to person for the team and help keep the business running smoothly as we scale.
This is an ideal role for someone who wants
more than a traditional office manager or PA job. You'll sit at the centre of the company, working closely with all members of the team, from engineers to the CEO.

The Role
Reporting to the
Head of Business Administration, you will work closely with the team as a
high-trust, high-impact partner, helping to organise priorities, manage logistics, and ensure the business runs efficiently.
At the same time, you will oversee the smooth running of the office and take on projects that support the wider team. The role combines
office management, operational support, and practical IT coordination, with the opportunity to take on new responsibilities as the company grows.
No two days will look the same: you'll need to be able to function in an evolving business where priorities change regularly.
What You'll Be Doing
Business & Operational Support
- Support the day-to-day running of the company, keeping internal operational functions organised and up to date
- Assist across different parts of the business when needed e.g. HR coordination, marketing & events, finance admin etc
- Support onboarding/offboarding of employees
- Co-ordinate/monitor staff travel (national and international)
- Assist with coordination of projects, meetings and priorities
- Help implement and improve internal processes as the business scales
- Act as a reliable go-to person to help solve practical problems across the team
Office Management
- Oversee the day-to-day running of the office
- Coordinate suppliers, workspace logistics and office systems
- Office Health & Safety Champion
- Organise team events, meetings and company activities
- Help create a positive, well-organised working environment
IT & Equipment Coordination
- Manage ordering and setup of laptops and other equipment for new starters
- Coordinate IT supplies and external support providers
- Ensure staff have the tools and systems they need to work effectively
- Maintain records of company equipment and assets
- Help troubleshoot basic IT issues and coordinate solutions when needed
Requirements
We're looking for an
operational generalist who enjoys being
organised, proactive and hands-on, who thrives in a dynamic environment.
You're someone who naturally steps in to help things run smoothly and enjoys working across a wide variety of tasks and
can handle ambiguity and change.
You might come from roles such as
operations coordinator, office manager, team coordinator, business support, or startup operations.
You'll Likely Have
- 5+ years experience in operations, office management, or business support roles
- Excellent organisational and prioritisation skills
- Strong communication and coordination ability
- Confidence managing multiple tasks and responsibilities
- A proactive, problem-solving mindset
- Comfortable working in a fast-moving start-up environment
- Experience coordinating IT equipment or working with external IT support providers
- Familiar with MS365 including SharePoint
