Position Summary
Clairmont is seeking a highly organized, proactive, and detail-oriented Business Operations & Executive Assistant to serve as a central hub for the Firm’s day-to-day operations. This individual will play a critical role in ensuring the smooth functioning of the business across executive support, office management, HR administration, and general operational processes. The role is ideal for someone who thrives in a fast-paced, entrepreneurial environment and is excited to take ownership of a broad range of responsibilities that directly support firm leadership and overall business operations.
This is a high-impact position with significant visibility across the Firm and opportunity to grow alongside the platform.
Key Responsibilities
Executive & Administrative Support
· Manage complex calendars, schedule meetings, and coordinate logistics for senior leadership
· Coordinate internal and external meetings
· Arrange travel, accommodations, and itineraries
· Prepare meeting materials and assist with notetaking and follow-ups
Firm Operations & Office Management
· Oversee day-to-day office operations, ensuring a well-functioning and professional environment
· Manage vendor relationships, including building management, IT providers, and office services
· Coordinate office supplies, equipment, and general upkeep
· Organize team events, offsites, and internal initiatives
Finance & Administrative Support
· Manage expense reporting, invoice processing, and vendor payments
· Assist with budgeting and tracking of administrative and operating expenses
· Support coordination of legal and compliance-related administrative items
HR & People Operations
· Support onboarding of new hires, including logistics and documentation
· Assist with benefits administration and employee records management
· Help coordinate performance review processes and internal HR initiatives
Process & Project Coordination
· Maintain organized digital and physical filing systems across the Firm
· Track key recurring processes (e.g., compliance filings, renewals, internal deadlines)
· Assist with special projects and cross-functional initiatives as needed
· Identify opportunities to improve processes and increase operational efficiency
Qualifications / Requirements
· 4+ years of experience in an administrative, operations, or office management role within finance or a professional services environment (e.g., private equity, investment management, real estate, or investment banking)
· Highly organized with strong attention to detail and ability to manage multiple priorities
· Proactive, resourceful, and comfortable working independently in a small team environment
· Strong communication and interpersonal skills
· High level of discretion and professionalism when handling confidential information
· Proficiency in Microsoft Office (Outlook, Excel, Word)
· Experience with expense management and basic financial tracking preferred
