About the role
As a member of the Finance Department, this position plays a key role in supporting the day-to-day operations of the department by providing high-level, confidential executive and administrative support to the Chief Financial Officer (CFO) and the broader leadership team.
The Business Operations and Support Officer is responsible for ensuring the smooth and efficient operation of the Finance Department through effective coordination of business processes, executive support, purchasing administration, stakeholder liaison and project assistance. The role works closely with Executive Officers, Councillors, internal teams and external stakeholders, requiring a high level of professionalism, discretion and sound judgement.
Reporting directly to the Chief Financial Officer, you will support departmental priorities by managing business administration systems, coordinating meetings and documentation, preparing correspondence and reports, and assisting with initiatives and projects critical to the department’s success. While this role does not have direct reports, it plays an influential and trusted support function within a complex and fast-paced environment.
What your day will look like
- Providing high-level, confidential executive and administrative support to the Chief Financial Officer
- Managing calendars, coordinating meetings, preparing agendas, minutes, briefings and presentations
- Supporting department-wide initiatives and projects through effective coordination and administration
- Managing purchasing administration and related processes for the Finance Department
- Liaising with Councillors, Executive Officers, internal teams and external stakeholders
- Maintaining systems, records and documentation to support effective business operations
What you will bring
- A degree or diploma in business administration, or lesser formal qualifications with relevant experience
- Experience providing administrative and operational support within a complex organisational environment
- Proven ability to manage stakeholders and build productive working relationships
- Highly developed written and verbal communication skills
- Strong problem-solving skills with the ability to exercise sound judgement and discretion
- Advanced proficiency in the Microsoft Office suite and experience using document and records management systems
