Ahria consulting is excited to partner with Pulse Infoframe in their search for a Sales Operations & Business Coordinator to manage the 'deal-to-cash' lifecycle.
This role is the critical backbone of our sales organization, responsible for ensuring HubSpot data accuracy, managing contract/SOW logistics and providing high-level administrative leverage to the CEO/CRO.
Key Responsibilities
- Sales Pipeline & CRM Management: Act as the ultimate authority on CRM data integrity. You will audit the pipeline weekly, enforce data entry standards for the sales team, and produce accurate reporting for leadership.
- Contract & SOW Administration: Own the document preparation process. You will draft Statements of Work (SOWs) and contracts from templates, manage the redline/negotiation logistics, and drive the e-signature process to completion.
- Renewals Management: Proactively manage the renewal calendar. You are responsible for ensuring renewal documentation is prepared and presented to clients 60–90 days prior to expiration.
- Process Automation: Identify and implement workflows within HubSpot and Microsoft 365 to reduce manual data entry and speed up the sales cycle.
Additional Responsibilities
- Executive Leverage: Provide high-level administrative support to the CEO and CRO, including strategic calendar management and meeting preparation to ensure leadership stays focused on growth.
- Special Operations: Assist with high-priority corporate projects, support materials, and internal communications as required.
Required Skills & Experience
- Sales Operations & CRM Expertise: Hands-on experience managing deals, properties, and workflows in HubSpot, with a strong focus on data accuracy and process adherence.
- Contract & Documentation Management: Ability to draft, review, and manage business documents such as SOWs and MSAs with a high degree of accuracy and attention to detail.
- Quote-to-Cash Coordination: Experience supporting end-to-end sales processes including quoting, approvals, contracting, billing handoff, and renewals.
- Data & Reporting Skills: Advanced Excel capability, including building dashboards and recurring reports to support pipeline visibility and leadership decision-making.
- Tools & Systems Proficiency: Expert-level use of Microsoft 365 (Outlook, Word, SharePoint), with familiarity integrating CRM systems with e-signature or contract management tools.
- Operational Excellence: Highly organized, process-driven, and detail-oriented, with a strong sense of ownership and a track record of ensuring deals and deliverables move forward without delay.
Qualifications
- 2–5+ years of experience in Sales Operations, Revenue Operations, Contract Administration, Sales Administration, Executive Administration, or a related function within a B2B environment.
- Experience working cross-functionally with Sales, Finance, and Legal teams in a fast-paced, deadline-driven setting. Exposure to enterprise or regulated environments, including procurement processes, security questionnaires, or DPA coordination, is considered an asset.
Compensation: $75,000 - $85,000 per year + comprehensive benefits and vacation package.
