Role Summary
The Operations Lead will serve as a key partner to the VP of Operations, supporting execution across a 110-person operations function and freeing up VP-level capacity for strategic initiatives, leadership development, and cross-functional partnership at the executive level.
This role is built for a high-performing, hands-on operator who thrives in a fast-moving environment and can match the pace of a scrappy executive team. The Operations Lead will work alongside the VP of Operations and his senior management team — including the Sr. Operations Manager, Sr. Program Manager, Sr. Patient Operations Manager, Lab Director, and Clinical Trainer — supporting their priorities, helping coordinate cross-team initiatives, and serving as a central point for action item tracking, meeting preparation, and follow-through.
This position is ideal for a highly organized, execution-driven professional who is hungry for exposure across a wide operational scope, comfortable with ambiguity, and motivated by helping teams move faster together.
Key Responsibilities
Project & Program Coordination
● Help drive cross-departmental projects in partnership with the VP of Operations, ensuring execution across teams including Marketing, Product, Finance, and Clinical.
● Maintain a centralized view of Operations initiatives, supporting status tracking, blocker identification, and action item follow-up.
● Prepare materials, agendas, and pre-reads for executive and leadership meetings the VP of Operations participates in.
● Help capture and drive follow-through on action items from COO, CEO, and executive-level discussions.
● Drive AI tool adoption and workflows across the entire operations team
● Support clear, concise reporting cadences that keep senior leadership informed.
Executive Partnership
● Serve as a thought partner to the VP of Operations on operational priorities, cross-functional initiatives, and team coordination.
● Provide context, prep, and follow-up support that enables the VP to operate effectively in COO and CEO-level discussions.
● Build collaborative working relationships with the senior management team across Operations.
● Represent the VP of Operations in working sessions and cross-functional meetings when helpful.
Cross-Functional Collaboration
● Work closely with Marketing, Product, Finance, Technology, and Clinical teams to support shared operational priorities.
● Serve as a connector between executive leadership and the Operations team, helping ensure alignment, transparency, and follow-through.
● Build strong communication channels across the organization to support a culture of accountability.
Operational Support
● Partner with the Sr. Program Manager on vendor and pharmacy initiatives, supporting reporting, follow-through, and cross-functional coordination.
● Collaborate with the Sr. Patient Operations Manager on Medical Liaison program initiatives, contributing to reporting and project execution.
● Assist the VP of Operations with report tracking, forecasting inputs, and variance reporting across the Operations function.
● Partner with the Sr. Operations Manager on customer service initiatives, helping with project coordination and cross-team alignment.
Qualifications
● Bachelor's degree in Business, Operations, Healthcare Management, or a related field.
● 3-7 years of experience in operations, program management, business operations, or a similar execution-focused role.
● Experience operating in fast-moving environments such as growth-stage healthcare, telehealth, startup, or other high-growth settings.
● Strong organizational skills with the ability to support a wide portfolio of priorities simultaneously and without dropping balls.
● Excellent written and verbal communication skills, with the ability to brief executives clearly and concisely.
● High emotional and political intelligence, with a track record of building trust across teams and operating effectively in complex stakeholder environments.
● Comfortable with ambiguity, last-minute changes, and scrappy execution; able to support outcomes without relying on heavy process.
● Data-driven mindset with the ability to track, report on, and help improve operational performance.
Preferred Backgrounds
● Former military officers (logistics, operations, or staff roles) transitioning into business operations.
● Operators from growth-stage healthcare, telehealth, or DTC services companies.
● Chief of Staff or Business Operations professionals from companies under 300 employees.
● Early-stage operators who supported multiple functions in a small-company environment.
