Your role within the team
This role exists to bring rigour, flow and reliability to two critical business rhythms: Integrated Business Planning (IBP) forums and PMO Stage Gate governance. The Business Operations and Governance Coordinator ensure facilitators, chairs and project leaders are supported with complete, high‑quality materials, clear documentation and strong follow‑through. By reducing friction and lifting governance standards, this role enables senior stakeholders to focus on decision‑making rather than administration. The role is equal parts operational backbone and governance partner. The ideal candidate brings strong coordination and governance experience from roles such as project coordination, PMO support, business operations, or planning forums support. This role will be part-time (0.6FTE).
Key responsibilities include:
- Coordinate and prepare monthly IBP documentation and forum materials to a high standard, ensuring pre-reads are issued at least 48 hours in advance.
- Support functional teams to meet IBP deadlines by proactively chasing inputs, reviewing submissions for completeness and decision readiness, and identifying risks or gaps early.
- Attend and support all IBP forums, helping facilitators and chairs maintain structured, decision-led discussions that stay on agenda.
- Capture and distribute clear actions, decisions and outcomes from IBP forums, including post-reads issued within 24 hours and ongoing tracking of actions between cycles.
- Maintain a clear and accurate single source of truth for IBP decisions, outputs, actions and handover documentation across planning cycles.
- Lead weekly Stage & Gate meetings from a governance and coordination perspective, including scheduling, calendar management, reminders, pre-reads and post-read distribution.
- Take structured meeting minutes and maintain accurate records of discussions, approvals and governance outcomes using tools such as Microsoft Copilot and SharePoint.
- Produce and maintain project health summaries, NPD status reporting and governance reporting using Monday.com and other business systems.
- Develop, maintain and continuously improve Stage & Gate templates, filing structures, governance processes and auditable documentation standards.
- Coordinate governance training sessions, follow up actions with stakeholders to ensure closure, and provide broader PMO and business operations support as required.

- Advanced document preparation skills across PowerPoint, Word and Excel, with the ability to produce clear, professional and decision-focused materials.
- Strong experience using Monday.com or similar project management platforms to manage project data, reporting and health summaries.
- Excellent minute-taking capability, with the ability to capture clear decisions, actions, owners and key discussion outcomes.
- Highly organised with proven experience coordinating diaries, meetings and governance forums across multiple stakeholders and functions.
- Strong time management skills, with the ability to manage competing deadlines, dependencies and recurring business cadences with accuracy and consistency.
- Demonstrated commercial acumen and confidence working alongside Commercial, Supply Chain and Finance teams in a cross-functional environment.
- Experience supporting governance frameworks, stage-gate processes, IBP routines or recurring business forums with strong process discipline.
- Proven ability to chase inputs, align stakeholders to deadlines and maintain momentum without creating unnecessary escalation or friction.
- Process improvement mindset, with experience using templates, checklists and structured routines to improve consistency, efficiency and reduce rework.
- Experience within FMCG, matrixed organisations, or environments with formal governance, IBP or PMO processes is advantageous but not essential.
