About the Team and the Role
The Business Operations & Human Resources team plays a critical role in ensuring smooth day-to-day operations across the organization. From managing records to maintaining infrastructure processes, the team ensures compliance, organization, and operational efficiency.
As a Business Operations Associate, you will be responsible for managing company documentation systems, ensuring accurate record-keeping, and supporting facility and asset maintenance processes.
What will you do?
- Organize and maintain structured physical and digital archiving systems
- Label, sort, and categorize documents for easy retrieval and usability
- Retrieve records upon request and ensure timely access to documents
- Ensure compliance with regulatory and internal documentation standards
- Maintain documentation integrity, version control, and controlled access
- Remove obsolete documents in line with retention policies
- Support internal and external audits by ensuring documentation readiness
- Coordinate with teams to maintain consistent documentation practices
- Train employees on documentation processes and best practices
- Utilize storage software and electronic filing systems effectively
- Assist with transcription, formatting, and proofreading of documents when required
- Support onboarding of external clinicians, including documentation, coordination, and ongoing assistance
- Work closely with the Director of Business Operations and collaborate across verticals under their purview.
- Utilizing Large Language Models (LLMs) to optimize workflows, accelerate execution, and improve overall productivity.
Who are we looking for?
- Bachelor’s/Master’s degree in Economics, Statistics, Engineering, or a related analytical field.
- 1-3 years of experience in cross-functional operations, documentation cycle, execution, and planning.
- High level of integrity and discretion in handling sensitive and confidential information.
- Competency in managing the end-to-end execution of operational tasks, document cycle (contract administration, version control, and record management), and regulatory requirements / internal compliance.
- Competency in stakeholder and cross-functional team management: We’d like someone who can coordinate across departments and organizational levels to ensure alignment on shared initiatives.
- Proficiency in MS Office, especially Excel (data analysis, reporting, tracking) and PowerPoint.
- Good to have: a proactive mindset and the ability to identify operational gaps.
