This is a newly created senior operational role reporting directly to the Managing Director. It is a fantastic employment opportunity for a candidate who enjoys shaping a function from the ground up, ensuring the business operates with maximum efficiency and regulatory integrity.
.8 position, 32 hours per week with flexible start time
The Opportunity
As the Business Operations & Compliance Manager, you will be the "engine room" of the firm’s operational foundations. While this is not a people management position, it is a high-level strategic role where you will oversee the firm's operational systems, compliance frameworks, technology stack, and business improvement initiatives.
You will act as a trusted advisor to the Managing Director, working alongside accountants, consultants, and software providers to ensure Robbins Conveyancing remains at the forefront of the industry. If you are an organised, technically minded professional who thrives on streamlining workflows and ensuring regulatory excellence, this is the perfect role to make a genuine impact.
Key Responsibilities:
- Risk & Compliance: Maintain the firm's compliance framework, including AUSTRAC (AML/CTF) requirements, WHS policies, staff licensing, and internal/external audits.
- Systems & Automation: Lead the improvement of systems by documenting workflows and identifying automation opportunities. You will administer key software including Actionstep, Snapforms, and Microsoft 365/Power Automate.
- Digital Presence: Support the firm's marketing efforts by managing social media, Google Ads, and website updates.
- HR & Finance Support: Provide operational support for employee onboarding and compliance checks, as well as assisting with Xero bookkeeping, payroll, and financial reporting.
- IT & Integration: Provide general IT support and liaise with external providers to manage software implementations and upgrades.
About You (Requirements)
- Compliance Expertise: Demonstrated experience managing compliance within a regulated environment. Experience with AML/CTF will be highly regarded.
- Technical Acumen: Strong knowledge of Microsoft 365, Teams, APIs, and workflow automation. You should be confident in implementing and learning new technology.
- Business Improvement: Proven ability to document procedures, automate processes, and increase operational efficiency.
- Financial Literacy: Experience with Xero bookkeeping and payroll is desirable.
- Professional Attributes: Exceptional attention to detail, strong initiative, and the ability to maintain absolute confidentiality in a professional services environment.
