Position Summary
Visit Dana Point is seeking a highly organized, detail-oriented, and service-minded Sales Operations & Destination Services Manager to support group sales, travel trade, CRM management, partner information, destination services, and sales reporting.
This role is ideal for someone who enjoys hospitality, tourism, organization, partner communication, event logistics, CRM systems, and helping a small team operate more effectively.
The position helps keep Visit Dana Point sales systems, partner records, destination resources, site inspection support, FAM coordination, sales activity, and follow-up information organized, accurate, and actionable. The role supports the sales and destination services work that helps generate qualified overnight demand for Dana Point lodging partners.
Role Clarity
This position is part of Visit Dana Point’s sales and destination support system. The role helps strengthen CRM accuracy, sales coordination, partner information, destination services, site inspections, FAM support, travel-trade follow-up, and reporting.
The Sales Operations & Destination Services Manager works closely with the Director of Sales to help keep sales activity organized, documented, and moving forward. This includes preparing materials, coordinating logistics, tracking follow-up, maintaining CRM records, supporting client service needs, and helping ensure that planners, hotel partners, and tourism partners receive timely and accurate information.
The Director of Sales continues to lead overall sales strategy, account direction, hotel sales alignment, lead qualification, group sales priorities, and key client relationships. This role supports that work by managing the operational details, destination resources, reporting support, and follow-up systems that help the sales process run effectively.
Primary Responsibilities
CRM, Sales Operations, and Reporting
• Maintain accurate records in Simpleview, Cvent, and other sales or CRM systems.
• Update accounts, contacts, partner records, traces, notes, tags, lead details, follow-up activity, and related sales information.
• Support lead intake, routing, tracking, and reporting under the direction of the Director of Sales.
• Maintain sales calendars, follow-up timelines, FAM records, trade show contacts, site inspection records, and partner touchpoints.
• Generate CRM reports, sales activity reports, partner updates, and performance tracking materials.
• Monitor CRM data quality and help ensure sales activity is documented consistently and accurately.
• Support monthly and quarterly sales reporting for leadership, hotel partners, and Board reporting as assigned.
Sales Support and Coordination
• Support research, preparation, logistics, documentation, and follow-up tracking for approved group sales initiatives.
• Assist with destination presentations, proposals, itineraries, bid materials, client-facing resources, and follow-up materials.
• Prepare materials, organize information, track next steps, and document activity in the CRM.
• Assist with coordination of group sales inquiries and meeting leads.
• Coordinate logistics for site inspections, FAM tours, client visits, sales missions, partner meetings, and destination experiences.
• Document meeting planner, client, and hotel partner interactions in the CRM.
Destination Services and Client Support
• Provide destination information, recommendations, and resources to meeting planners, hotel partners, travel advisors, and visitors when the request supports overnight trip planning, meeting services, destination referrals, or lodging partner benefit.
• Assist with custom itineraries, off-site activity ideas, dining recommendations, transportation options, and local experience suggestions.
• Coordinate destination services support for confirmed meetings, site visits, FAMs, sales missions, and special client programs.
• Maintain destination services templates, itinerary resources, partner lists, vendor contacts, and client support materials.
• Help ensure Dana Point is represented professionally, accurately, and consistently in client-facing materials.
Tourism Partner Information and Coordination
• Become a knowledgeable resource on Dana Point hotels, meeting venues, restaurants, attractions, water experiences, outdoor recreation, transportation, seasonal events, entertainment, visitor services, and tourism-facing businesses.
• Maintain current information on tourism partners, including amenities, group capabilities, menus, hours, contacts, photos, promotions, seasonal offerings, and visitor-facing details.
• Conduct tourism partner check-ins and site visits to stay informed on destination offerings and business updates.
• Serve as a day-to-day Visit Dana Point contact for non-hotel tourism partners related to destination information, visitor resources, and partner updates.
• Coordinate with the marketing team to help ensure partner listings and destination information are accurate across Visit Dana Point platforms.
• Maintain an accurate database of tourism partner contacts and destination resources.
Leisure and Travel-Trade Support
• Support approved leisure sales and travel-trade activities as assigned.
• Maintain travel advisor, tour operator, receptive operator, and leisure sales contacts in the CRM.
• Assist with travel trade follow-up, FAM logistics, itineraries, partner coordination, and destination materials.
• Document leisure sales activity, partner participation, and follow-up in the CRM.
Qualifications
• One to three years of experience in hospitality, tourism, destination marketing, sales support, event coordination, CRM administration, customer service, partner services, or a related field preferred.
• Bachelor’s degree in Hospitality, Tourism, Business, Marketing, Communications, or a related field preferred.
• Experience working with hotels, meeting planners, tourism partners, restaurants, attractions, event venues, or destination organizations is helpful.
• Experience with Simpleview and/or Cvent preferred.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication skills.
• Comfort working in CRM systems, databases, spreadsheets, and reporting tools.
• Strong computer skills, including Microsoft 365.
• Ability to manage multiple priorities, deadlines, follow-up items, and small details.
• Ability to professionally represent Visit Dana Point with partners, planners, hotels, and local businesses.
• Interest in hospitality, tourism, destination services, and the Dana Point visitor experience.

Work Schedule and Requirements
This is a hybrid position requiring both in-office collaboration and remote work. In-office days are Tuesday, Wednesday, and Thursday. Remote days are Monday and Friday. Attendance at occasional evening, weekend, or off-site events, site visits, trade shows, FAMs, client visits, and community meetings is required.
Employment with Visit Dana Point is subject to completion of required onboarding documents, verification of eligibility to work in the United States, and compliance with Visit Dana Point policies and procedures. This position may require use of a personal vehicle for local business travel, a valid driver’s license, reliable transportation, and proof of insurance.
Physical Requirements
• Ability to travel throughout Dana Point on a regular basis to visit partner businesses, attend meetings, and conduct site inspections.
• Ability to sit, stand, and walk for extended periods during events, site visits, and client programs.
• Ability to occasionally lift up to 25 pounds.
• Ability to work at a computer for extended periods.
