The Role & Opportunity π―
We are looking for a Business Operations Associate to join us initially as an intern for a committed 3-month period. Based strictly on your execution, speed, and ownership, this role will convert into a permanent full-time position.
This is not a regular customer support role. This is a high-ownership client experience role for someone who can bring empathy, discipline, speed, and strong execution to a fast-growing global mobility readiness company.
What You Will Own π
1. Client Journey & Experience (Our primary, high-trust voice after enrollment)- Welcome and onboard clients after enrollment.
- Set a premium, high-trust tone from the first interaction.
- Communicate with clients and families through WhatsApp and calls.
- Handle anxious, confused, or time-sensitive clients with patience and clarity.
- Follow up with clients before and after their interview.
- Collect interview outcomes, reviews, testimonials, and feedback.
2. Operations & Coordination (Making the journey run smoothly behind the scenes)- Coordinate profile reviews, Documentation reviews, refusal analysis, strategy sessions, and final readiness sessions.
- Manage scheduling, rescheduling, reminders, and follow-ups.
- Maintain clean trackers for client status, sessions, timelines, and pending actions.
- Collect required profile details, visa timelines, and documents.
- Prepare crisp client briefs before mentor sessions so every interaction feels personalized.
- Ensure no session, clarification, or follow-up is missed.
3. Proactive Problem Solving (Identifying issues before they become complaints)- Track pending doubts, unresolved concerns, and application clarifications.
- Escalate complex visa histories, refusal cases, urgent timelines, or sensitive profiles to the senior team.
- Keep clients informed instead of making them chase for updates.
- Maintain a zero-drop mindset where no paid client feels ignored or unsupported.
Who We Are Looking For π€
- Excellent written English communication.
- Warm, professional, and clear over WhatsApp and calls.
- Highly organized with Google Sheets, Google Calendar, and follow-up systems.
- Calm under pressure during peak visa seasons.
- Empathetic with clients and families.
- Detail-oriented and reliable.
- Fast at learning new processes.
- Comfortable working with urgency when timelines are tight.
- Comfortable with evening or weekend coordination during peak periods when required.
- High agency: someone who does not wait to be reminded.
β οΈ Important: Prior visa knowledge is not mandatory. Training will be provided, but strong communication, ownership, and organization are non-negotiable.
Good to Have: β¨
- Experience in customer success, operations, hospitality, edtech, study abroad, visa services, or global mobility.
- Familiarity with WhatsApp Business, Calendly, Google Workspace, Notion, CRM tools, or similar systems.
- Interest in growing into profile analysis, client advisory, operations leadership, or global mobility consulting.
