To help support this growth, we are seeking a highly organised, commercially minded and proactive Business Operations & Finance Manager to join our leadership team.
Role Description The Business Operations & Finance Manager is a full-time, on-site role based in Stafford. This role oversees day-to-day business operations, including planning, coordinating, and optimizing workflows that support mobile veterinary services and the joint venture program. The manager will develop and maintain operational processes, monitor performance metrics, and identify efficiencies across scheduling, client communication, and partner support. They will handle financial planning and analysis, including budgeting, forecasting, cash flow management, and financial reporting for leadership and stakeholders. Daily tasks include managing vendor relationships, supporting compliance with relevant regulations, contributing to strategic initiatives, and collaborating closely with clinical and partner teams to ensure smooth, sustainable growth.

Key responsibilities
financial management &reporting
- Maintain accurate cashflow forecasts across the group.
- Produce monthly management reports and KPI dashboards.
- Monitor business performance and financial trends.
- Manage invoicing, debtor tracking and finance administration.
- Maintain accurate records within Xero.
- Support budgeting and forecasting activities.
- Coordinate payroll preparation and reporting.
- Liaise with external accountants and advisors.
- Support financial reporting across the Joint Venture network.
Operations Management
- Coordinate key business projects and operational priorities.
- Manage leadership meeting agendas, minutes and action tracking.
- Improve systems, workflows and operational efficiency.
- Maintain SOPs, policies and business documentation.
- Ensure key actions and strategic initiatives are delivered.
Joint venture partner support
- Support onboarding of new Joint Venture Partners.
- Coordinate launch activities and implementation plans.
- Support partner communications, reporting and operational readiness.
- Monitor partner performance information and business metrics.
- Help deliver a consistent and scalable partner experience.
People&Culture
- Manage HR administration through BrightHR.
- Coordinate recruitment and onboarding activities.
- Organise probation reviews and annual appraisals.
- Maintain training, holiday and sickness records.
- Support a positive and collaborative culture across the organisation.
Systems &Office Management
- Own SharePoint organisation and document management.
- Support Microsoft 365 administration and adoption.
- Coordinate building, facilities and supplier management.
- Support events, conferences and business logistics.
- Assist with marketing administration and partner launch activities.
Qualifications
- Candidates should possess strong Business Operations and Operations Management skills to manage day-to-day activities, optimize processes, and support organizational growth.
- Candidates should possess solid Analytical Skills and Program Management abilities to interpret data, manage projects, and oversee the joint venture program effectively.
- Candidates should possess Finance skills, including budgeting, forecasting, financial reporting, and basic accounting knowledge.
- Relevant qualifications such as a bachelor’s degree in Business, Finance, Management, or a related field, or equivalent professional experience.
- Strong organizational, communication, and stakeholder management skills, with the ability to work collaboratively in a compassionate, mission-driven environment.
- Experience in healthcare, veterinary services, or service-based small business environments is beneficial.
- Comfort with using business software tools (e.g., spreadsheets, accounting systems, CRM or scheduling platforms) and adapting to new systems as needed.
