I'm Diego, Founder of Gaui, and I'm looking for an experienced Business Operations Manager to work closely with me as we continue building and growing the company.
I'm looking for someone with at least 7 years of experience, including direct experience within a DTC brand, preferably in fashion or beauty. Someone who genuinely enjoys the business side of building a brand, from managing budgets and leading teams to organizing calendars, improving processes, and making decisions that support long-term growth.
Experience across both smaller and larger organizations is particularly valuable to me. I'm interested in someone who has seen how established businesses operate but also understands what it takes to build structure within a smaller, growing company. Someone resourceful, financially disciplined, and comfortable taking ownership rather than waiting for direction.
Above all, I'm looking for someone who takes pride in bringing people, numbers, and operations together. Someone who enjoys solving problems and creating structures, believes in what we're building, and wants to play a meaningful role in where we take Gaui next.
This is a hands-on leadership position based in Miami, working directly with me across business operations, financial oversight, team management, and company growth.
The Role
Working closely with the Founder and Brand Director, the Business Operations Manager will oversee Gaui's daily business operations, ensuring that teams, resources, and internal processes are organized, efficient, and aligned with company objectives.
The role connects financial oversight with operational execution. This includes monitoring expenses, supporting budgets, reviewing operational performance, managing resources, and identifying opportunities to improve profitability and efficiency.
An important part of this position is managing people and accountability. The Business Operations Manager will help establish clear responsibilities, coordinate priorities across departments, and ensure that projects and daily operations move forward effectively.
The position is both strategic and hands-on. It requires someone who can understand the broader business while remaining closely involved in daily decisions, problem-solving, and execution.
Responsibilities
Business Operations + Management
- Oversee day-to-day business operations across inventory, logistics, fulfillment, customer service, finance, and internal workflows
- Work directly with the Founder to establish business priorities, execute company objectives, and support sustainable growth
- Manage daily operational activities, ensuring all departments remain organized, efficient, and accountable
- Develop and maintain company-wide operating procedures, internal systems, and organizational standards
- Manage operational resources, business expenses, and internal priorities to support profitability
- Coordinate internal communication between finance, marketing, e-commerce, product, and fulfillment teams
- Oversee external vendors, operational partners, service providers, and contract negotiations
- Support the development and execution of short-term and long-term business plans
Financial Oversight + Budget Management
- Oversee company budgets, operating expenses, and departmental spending
- Monitor cash flow, financial commitments, and business performance
- Review recurring expenses, vendor invoices, subscriptions, and operational expenditures
- Establish clear financial reporting systems that provide leadership with visibility into revenue, expenses, profitability, and cash requirements
- Support cash flow planning, payment scheduling, and prioritization of financial obligations
- Monitor departmental budgets and ensure spending remains aligned with company objectives
- Analyze business performance and prepare financial and operational reports for leadership
- Support financial forecasting, annual planning, and budget development
- Maintain financial discipline and accountability across the organization
- Oversee purchasing approvals and internal expense management procedures
Team Management + Human Resources
- Lead and coordinate a small, cross-functional team, ensuring responsibilities and priorities are clearly defined
- Manage employee schedules, attendance, time-off requests, and internal work calendars
- Oversee payroll processing, including timesheets, payroll approvals, compensation adjustments, and coordination with payroll providers
- Support employee hiring, onboarding, training, performance evaluations, and offboarding
- Establish clear expectations, individual responsibilities, and performance standards across departments
- Conduct team meetings, operational reviews, and individual check-ins
- Follow up on assigned tasks, deadlines, and departmental commitments
- Support organizational planning, staffing requirements, and resource allocation
- Address operational and personnel matters professionally, consistently, and in coordination with leadership
- Maintain organized employee records, internal documentation, and HR-related processes
- Help build a culture of accountability, collaboration, efficiency, and ownership
Fulfillment + Inventory + Logistics
- Oversee warehouse operations, order fulfillment, inventory management, and shipping performance
- Manage fulfillment team performance, productivity, scheduling, and daily order-processing requirements
- Monitor order accuracy, shipping timelines, fulfillment costs, and operational efficiency
- Ensure customer orders are processed accurately and within established service standards
- Monitor inventory accuracy, stock availability, receiving, transfers, and inventory adjustments
- Coordinate incoming shipments, product deliveries, and warehouse receiving schedules
- Oversee relationships with shipping carriers, logistics providers, and warehouse vendors
- Develop processes to reduce fulfillment errors, shipping costs, inventory discrepancies, and operational delays
- Establish and monitor fulfillment KPIs, including processing times, order accuracy, labor efficiency, and return volumes
- Ensure warehouse organization, safety, and operational standards are consistently maintained
Planning + Calendars + Internal Communication
- Manage and maintain the company's master operational calendar, including deadlines, meetings, launches, and key business activities
- Coordinate departmental calendars to ensure operational readiness for product launches, campaigns, and company initiatives
- Schedule, organize, and conduct weekly operational meetings and departmental check-ins
- Prepare meeting agendas, document key decisions, assign action items, and follow up on execution
- Maintain visibility into ongoing projects, upcoming deadlines, and department responsibilities
- Identify scheduling conflicts, operational bottlenecks, and potential delays before they impact execution
- Establish reporting and meeting routines that improve internal organization and accountability
- Coordinate business planning meetings and periodic performance reviews with the Founder and leadership team
Qualifications + Skills
- 5+ years of experience in business operations, operations management, general management, or a related leadership position
- Experience within a growing fashion, retail, e-commerce, or direct-to-consumer business
- Proven experience overseeing daily operations and managing cross-functional teams
- Strong financial understanding, including budgeting, expense management, cost analysis, and operational performance tracking
- Excellent analytical skills with the ability to interpret financial and business data and translate findings into decisions
- Experience developing processes, operational systems, reporting structures, and performance indicators
- Strong project and program management capabilities
- Experience managing inventory, logistics, fulfillment, and customer service operations
- Strong understanding of business profitability, resource allocation, and cost efficiency
- Confidence managing people, delegating responsibilities, and holding teams accountable
- Proficiency with spreadsheets, reporting platforms, business management tools, and e-commerce systems
- Familiarity with Shopify and direct-to-consumer operations is highly valued
- Excellent organizational, communication, and problem-solving skills
- Ability to prioritize effectively and make sound decisions in a fast-moving environment
- Bachelor's degree in Business Administration, Operations Management, Finance, or a related field, or equivalent professional experience
