· Maintain accurate project records, checking quotations, purchase orders, RAMS and delivery requirements.
· Liaise with colleagues, clients, suppliers and subcontractors; resolve scheduling clashes and flag decisions needed.
· Coordinate site access, travel, accommodation and itineraries, keeping calendars and booking information current.
Procurement, Logistics and Supplier Coordination
· Manage purchasing, orders and lead times; align deliveries, equipment movement and storage with schedules.
· Build supplier relationships, support reviews and forward planning, and flag delivery or cost issues.
Business Support, Governance and Compliance
· Support accounts, expenses, billing and enquiries; maintain office, vehicle and supplier contract renewals.
· Coordinate health and safety administration, policies, risk assessments and staff training records.
· Maintain subcontractor compliance records, including right-to-work and certification checks; escalate gaps before work is scheduled or authorised.
Social Media
· Coordinate approved social media content, scheduling and publication around operational priorities.
· Oversee the Social Media Marketing Assistant and agreed external support, maintaining brand consistency and basic performance updates.
What We’re Looking For
· Experience in business operations, project coordination, service support or a comparable role, ideally in a small or fast-moving business.
· Strong organisation and prioritisation, with a proactive approach, sound judgement and reliable follow-through.
· Clear communication and the confidence to work independently, collaborate across teams and coordinate others.
· Good working knowledge of Microsoft 365, Teams, SharePoint, Planner and Xero; social media tools are useful.
· Flexibility to work outside standard hours when business needs require.
