Multi-Location Childcare Organization | 20 U.S. Daycare Centers
Location: Austin, Texas (in office) | Type: Full-time
Reports to: Owner / President | Compensation: Commensurate with experience
Position overview
We seek an experienced, hands-on finance and operations leader to oversee accounting, financial reporting, financial controls, and business administration for a family-owned organization with 20 daycare centers across the United States and a United Kingdom satellite office that employs staff but does not operate schools. The role works closely with ownership, school directors, and external advisers to improve financial visibility and day-to-day execution.
Immediate priority: Bring approximately 12 months of overdue profit-and-loss statements and related accounting records up to date. This is a working leadership position: the successful candidate must be willing to reconcile accounts, correct transactions, and produce reliable reports—not solely supervise others.
Core responsibilities
Accounting cleanup and monthly close
- Assess QuickBooks data, bank and credit card activity, payroll entries, and missing records; create a prioritized catch-up plan.
- Reconcile accounts, correct coding and posting errors, and prepare overdue monthly profit-and-loss statements.
- Establish documented month-end close procedures, balance-sheet reconciliations, and timely financial reporting.
Financial management across 20 U.S. daycare centers
- Prepare school-level and consolidated profit-and-loss, balance-sheet, cash-flow, and budget-to-actual reports.
- Oversee tuition billing, collections, accounts receivable, vendor payments, and purchasing controls.
- Track enrollment-related revenue, labor costs, overtime, margins, and financial performance by location.
- Partner with school directors to resolve recurring administrative and financial issues and improve accountability.
Operational support and controls
- Help ownership prioritize day-to-day operational issues and standardize financial and administrative processes across locations.
- Support vendor and contract administration, approval workflows, management dashboards, and cross-location coordination.
- Work with designated school operations leaders; childcare licensing, curriculum, and educational supervision remain with qualified operational personnel.
Payroll, taxes, and UK satellite office
- Oversee U.S. payroll accounting, reconciliations, tax-document readiness, and coordination with payroll and tax providers.
- Coordinate accounting and payroll for UK satellite-office employees, including PAYE, National Insurance, pension obligations, and HMRC reporting through qualified UK advisers as appropriate.
- Maintain clear intercompany and cross-border reporting where applicable; no UK school operations are involved.
Financial leadership
- Prepare budgets, cash-flow forecasts, profitability analyses, and management reporting for ownership.
- Strengthen internal controls, identify financial risks, and recommend practical improvements.
- Manage or coordinate accounting staff and external CPA, tax, and payroll specialists as needed.
Required qualifications
- 10+ years of progressive accounting/finance experience, including senior controller, finance director, or hands-on CFO responsibilities.
- Advanced QuickBooks proficiency and demonstrated success cleaning up historical accounting backlogs.
- Strong U.S. accounting, reconciliations, payroll oversight, financial statement preparation, and multi-location reporting experience.
- Ability to work in person in Austin, lead independently, communicate clearly with owners and school directors, and perform detailed accounting work.
Preferred qualifications
- Childcare, education, healthcare, franchise, or other multi-site service-industry experience.
- CPA, ACCA, ACA, CIMA, or comparable qualification.
- Experience with UK payroll and HMRC coordination; multi-entity and cross-border accounting experience.
First 90 days
Days 1–30: Assess records, identify missing information and urgent risks, reconcile priority accounts, and deliver a
realistic cleanup schedule.
Days 31–60: Complete high-priority reconciliations, produce overdue monthly reports as records permit, and implement
school-level reporting controls.
Days 61–90: Advance or complete the 12-month catch-up, establish repeatable monthly close and reporting routines,
and present ownership with a financial and operational improvement plan.
Application
Please submit a résumé describing hands-on QuickBooks experience, historical accounting cleanup, multi-location financial management, and any UK payroll/accounting exposure. Candidates should be prepared to discuss a specific example of bringing overdue financial reporting current.
