Overview
We are seeking a detail-oriented and highly organized Sales Operations Associate with 2-3 years sales operations experience to streamline our engineer-to-order (ETO) sales process. This role enables technical teams and leadership to focus on customer engagement and solution design by managing proposals, documentation, and follow-ups with precision and consistency. Key responsibilities include preparing proposals, maintaining CRM data, coordinating schedules, and ensuring timely delivery of customer-facing materials. This is a full-time role, and it reports directly to the President.
Key Responsibilities
Proposal & Quote Management
- Draft, edit, and format proposals using standardized templates.
- Insert technical inputs, scope details, and pricing provided by engineers/leadership.
- Maintain version control and ensure timely delivery of proposals.
Sales Administration
- Maintain CRM data accuracy (contacts, opportunities, pipeline status).
- Track deadlines, follow-ups, and ensure no leads or opportunities are dropped.
- Generate weekly pipeline and sales activity reports for management.
Customer Coordination
- Schedule discovery calls, proposal reviews, and follow-up meetings for technical leads and leadership.
- Act as first point of contact for inbound inquiries (basic qualification before handing off).
Cross-Functional Support
- Work closely with engineers and project managers to gather required inputs for proposals.
- Coordinate with marketing (in-house or external) to ensure leads are captured and routed into the pipeline.
Process Improvement
- Maintain and refine sales templates, checklists, and tools to ensure efficiency and consistency.
- Identify bottlenecks in the sales workflow and suggest improvements.
Qualifications
- Bachelor’s degree in business, communications, or related field (or equivalent experience).
- 2+ years of experience in a sales support, proposals, or administrative role (experience in ETO, manufacturing, or technical services a plus).
- Strong writing, formatting, and organizational skills. Candidates will need to provide a writing sample of a technical sales proposal
- Proficiency with CRM systems (e.g., HubSpot, Salesforce, or similar).
- Comfort working with technical staff and translating inputs into client-ready documents.
- Experience working in project management and database tools (QuickBase and Wrike experience a plus)
- High attention to detail, accuracy, and follow-through.
- Ability to manage multiple priorities in a fast-paced environment.

Pay: $60,000.00 - $72,000.00 per year
