Position Overview:
- This early-career healthcare administrator role is crucial for overseeing the coordination and accuracy of client scheduling, billing, and intake processes.
- The analyst ensures a seamless onboarding experience for families, optimizes therapist schedules, and maintains efficient revenue cycle operations.
- This position is ideal for professionals with a foundational understanding of healthcare administration who are prepared to manage daily operational systems, integrating data accuracy, effective communication, and problem-solving to support both families and clinicians.
Key Responsibilities:
Scheduling & Operations:
- Manage daily scheduling to ensure efficient staff utilization and accurate billing alignment.
- Adjust therapist schedules, session lengths, appointment coding, and drive times.
- Support new client onboarding through coordination of intake forms, records, and evaluations, providing essential support to families.
Revenue Cycle Management:
- Participate in benefits verification, authorizations, and medical billing processes.
- Track claims processing and collaborate with payers to resolve issues, ensuring consistent revenue flow.
- Maintain accurate and compliant client records, upholding regulatory standards.
Data Management & Reporting:
- Collect and analyze key operational data to identify scheduling trends, billing accuracy, and service utilization, contributing to informed decision-making.
- Prepare weekly and monthly reports to support clinical and administrative decision-making.
- Ensure data entry accuracy and regulatory compliance in accordance with payer requirements.
Administrative Coordination:
- Serve as a primary contact for families, clinicians, and external partners regarding scheduling, care coordination, and patient intakes, fostering strong relationships.
- Maintain organized digital records, forms, and correspondence.
- Support broader office operations and process improvement initiatives as the center expands, offering opportunities for professional development.
Qualifications:
Required:
- Bachelor’s degree in Healthcare Administration, Business Administration, or a related field.
- 1–3 years of experience in a healthcare or behavioral health administrative setting, with a focus on pediatric populations.
- Strong understanding of insurance verification, client intake workflows, and HIPAA compliance.
- Proficiency with Google Workspace, scheduling, and billing software.
- Highly organized, detail-oriented, and capable of managing multiple priorities.
- Excellent interpersonal and written communication skills, with confidence in interacting with families and providers.
- This role may involve occasional light physical activity, such as lifting or moving items up to 25 pounds (e.g., organizing files, walking clients through the building).
Preferred:
- Familiarity with ABA therapy or behavioral health documentation requirements.
- Experience with data reporting tools or CRM/EHR platforms.
- Interest in quality improvement or operations management within a pediatric care environment, indicating a desire for continuous learning and development.

- This is a full-time, in-person role at the Biltmore clinic in Phoenix, AZ, Monday–Friday, 8:00 AM–5:00 PM.
