Role Overview
The Sales Operations Associate will play a vital role in our fast-paced startup, supporting our retail, wholesale, and e-commerce partners with exceptional service. This role bridges sales support, order processing, logistics coordination, accounting tasks, and customer service—ensuring every order moves smoothly from initial inquiry to final delivery. You’ll partner closely with the CEO and Warehouse Team to maintain accurate systems, streamline communication, and deliver a best-in-class customer experience. This role offers significant opportunity for growth and the potential to expand into a full-time position.
ROLE RESPONSIBILITIES
Sales Operations
- Support day-to-day activities and maintain seamless communication with internal and external stakeholders.
- Prepare accurate quotes, invoices, and account documentation using Cin7, Quickbooks, and customer-specific platforms.
- Create customer sales orders, review purchase orders, and issue invoices when orders are shipped.
- Review, investigate, and document customer deductions, chargebacks, and discrepancies.
- Maintain confidential account files, customer profiles, and documentation of sales activity.
- Assist with administrative tasks including reporting, sales materials, and account updates as needed.
- Partner cross-functionally with Accounting, Operations, and Marketing to keep customers informed and ensure sales commitments are met.
Order Processing
- Oversee the entire order-to-fulfillment lifecycle for retailers, wholesale partners, and direct-to-consumer channels.
- Process purchase orders through portals including Amazon Vendor Central, WooCommerce, CommerceHub, Essendant, UNFI, KEHE, and others.
- Execute timely and accurate data entry—including pricing, product availability, lead times, and order specifications.
- Maintain vigilance on order status, tracking, exceptions, and updates to ensure on-time delivery.
- Collaborate with Accounting to support accounts receivable tracking and payment follow-up.
Logistics
- Coordinate domestic shipping through UPS, FedEx, LTL carriers, and freight partners.
- Request freight quotes, compare rates, and communicate costs and timing to customers.
- Monitor inventory levels and shipping timelines to prevent delays or stock issues.
- Work across teams to resolve shipping errors, freight claims, vendor routing requirements, or special delivery needs.
- Maintain knowledge of carrier systems including UPS WorldShip and FedEx Ship Manager.
Customer Service
- Provide exceptional, solutions-oriented service to retailers, consumers, and channel partners via phone, email, EDI, and e-commerce messaging.
- Respond promptly to customer inquiries regarding pricing, availability, shipping, and product specifications.
- Support e-commerce platforms by answering questions and reviews on Amazon, Shopify, and brand websites.
- Manage refunds, replacements, and customer satisfaction programs.
QUALIFICATIONS
- 1–3 years of experience in Customer Service, Sales Operations, and Order Management.
- Strong proficiency with Google Workspace (Gmail, Docs, Sheets, Drive).
- Experience with QuickBooks, Cin7, or other ERP/CRM platforms preferred.
- Familiarity with EDI systems, Amazon portals, and e-commerce platforms is a plus.
- Knowledge of LTL freight coordination preferred.
- Excellent written and verbal communication skills with strong attention to detail.
- Highly organized, self-motivated, and able to prioritize in a fast-paced, multi-tasking environment.
- An instinctual problem-solver with the ability to work both independently and collaboratively.
BENEFITS

Work Environment
This is an on-site role based in Boulder, CO with 4-5 days in-office. Core working hours are between 9:00am - 3:00pm, with flexibility to work 4-5 hours per day.
Equal Pay for Equal Work Act
Pursuant to the Colorado Equal Pay for Equal Work Act, C.R.S. § 8-5-101 et seq., the compensation for this role is $35 per hour.
