The Business Operations Associate (BOA) is an entry-level role responsible for supporting daily business operations and providing excellent customer service to both external clients and internal teams. The position is housed within Niche Polymer LLC and provides operational, administrative, and customer account support across the organization, including direct support to one of Niche Polymer’s business units, Specialty Powders LLC.
About Specialty Powders
Specialty Powders LLC is a performance-materials and advanced polymer processing business specializing in toll processing, custom powder solutions, and value-added manufacturing services. Specialty Powders operations span several locations and include production, quality, logistics, and technical service functions. Since joining Niche Polymer, Specialty Powders has been undergoing integration efforts to align HR, payroll, benefits, operational processes, and corporate systems.
As the BOA supports this business unit, they will gain exposure to the operational rhythms, customer needs, and billing cycles specific to Specialty Powders’ service-based environment.
Key Responsibilities
Customer Account Support
- Assist with managing customer accounts, including invoicing, collections follow-up, and purchase order tracking.
- Conduct routine welcome and maintenance calls to clients under supervisor guidance.
- Support the research and resolution of basic customer questions or billing issues.
- Help maintain accurate account records by reviewing and updating information as needed.
- Help monitor a book of accounts receivable by performing follow-up tasks and reminders.
Customer Relationship Support
- Participate in weekly customer touchpoints to build familiarity and support client needs.
- Provide friendly and professional customer service through phone, email, and virtual communication.
- Escalate customer concerns to management when needed.
Operational & Administrative Support
- Assist field offices and corporate teams by helping gather and share information.
- Collect and organize data for account reviews or internal decision-making.
- Help audit basic account-specific reports to support accurate billing and documentation.
- Support general customer service activities as assigned by management.
- Learn to use internal tools, systems, and databases related to invoicing and reporting.
Business Learning & Development
- Gain hands-on exposure to the company’s business cycle, from invoicing to account follow-up.
- Participate in continuous learning to understand account management, customer communication, and business operations.
- Work closely with team members in a collaborative environment focused on meeting team goals.
Required Knowledge, Skills & Abilities
- Strong communication and customer service skills.
- High attention to detail and willingness to learn billing and AR processes.
- Ability to stay organized and manage multiple tasks with supervision.
- Basic understanding of business concepts or a willingness to learn quickly.
- Ability to work effectively in a team environment that values collaboration and open communication.
- Proficiency in Microsoft Office (Excel, Outlook) preferred.
Education & Experience
- BA/BS in Business, Accounting, or related field preferred, but not required.
- A combination of education and relevant work experience will be accepted.
- Experience in customer service, administrative support, operations, or billing is a plus, but not required.
Work Environment
- Office-based environment with standard business hours.
- Includes regular computer use and frequent communication with customers and internal departments.
