The role:
As Sales Operations Coordinator for TTG based in Melbourne, you will play a vital role in ensuring an efficient overall sales and operations workflow between our clients, suppliers, partners and our organization. This role is a key contact point across the operations, product, finance and sales divisions of the company.
This role is an important contributor to the overall efficient workflow process of the sales and operations function. The role is well suited to someone who enjoys collaboration and working to defined timelines, and who can demonstrate attention to detail and exceptional time and calendar management. The role will also incorporate project work at certain periods throughout the year.
The role is based in our Melbourne office, with a mix of office and WFH hours. The role is part time, between 24 and 30 hours per week. You will be part of a growing international team whose passion is developing exceptional educational experiences for our school and university clients.
Core Responsibilities:
Quotes – Procedure
- Lead on domestic and inbound quotes for Australia and New Zealand, communicate directly with suppliers in ANZ region to determine pricing as required
- Support the LGT sales team with quote proposals, including preparing quotes in The Learning Adventure (TLA) format
- Support with SharePoint, tracking sheets, Hub Spot pipelines as required.
- Support the team to ensure timely return of quotes from operations team, within company-preferred timelines
- Support the sales team by preparing client proposals as required
Booking – Procedure
- Support operations and CES team as required by ensuring company tracking sheets are up to date
- Provide support by creating or updating booking contracts as required
- Support finance with invoice distribution, monitoring payment schedules and payments are made according to terms of contract
- Support CES and sales team with airline quote and ticketing procedures, including checking passenger information lists provided by the school alongside airline ticketing information
- Assist in managing operations procedures including our annual calendar to ensure deadlines from airlines are met (deposits, final payments, name lists)
Product
- Support with supplier requests for risk and safety information, including insurance and other key documents and saving these in SharePoint.
- Share information with the Regional Specialist and Product team as required (i.e. inbound contracting)
- Ensure suppliers follow timely completion of risk assessment documents and manage communication as needed
- Assist marketing team on website content, including itinerary uploads within timelines
- Point of contact for DMC’s when creating inbound programs, support on contract amendments as required
