JOB DESCRIPTION
We are an accredited private school seeking a full-time Director of Business Operations to support day-to-day business and operational functions across two campuses in Woodland Hills, CA, serving approximately 450 students (toddler, preschool, and elementary). This is a hands-on, on-site role that partners closely with the Head of School, COO, CFO, and school administrators to ensure compliant, efficient, and well-run school operations.

RESPONSIBILITIES
- Support strategic planning and operational execution in partnership with the Head of School, COO, and CFO, ensuring alignment with the School’s mission and values.
- Enforce school policies and procedures, including Staff, Parent, and Student Handbooks.
- Ensure compliance with all applicable government regulations and licensing requirements.
- Oversee Business Office and front office operations, internal controls, and staffing.
- Lead campus safety and emergency preparedness, including monthly drills, documentation, and inspections.
- Oversee Human Resources administration, including benefits, 401(k), staff records, onboarding, workers’ compensation, and legislative compliance.
- Manage the school management system, including student and staff records, applications, enrollment documentation, and immunization compliance.
- Oversee accounts payable and receivable, including tuition billing, collections, vendor payments, reconciliation, and reporting.
- Manage facilities and vendors across all divisions, including campus maintenance, utilities, cleaning crews, contractors, and security.
- Conduct routine facility walk-throughs and hazard reviews.
- Coordinate annual and ongoing maintenance, repairs, and campus improvements.
- Oversee technology systems supporting daily school operations.
- Support planning and oversight of construction, capital projects, and long-term facilities planning.
- Oversee operational and logistical needs of WHPS’s science and nature center.
- Support external communications, including newsletters, flyers, website updates, and social media.
- Conduct research as needed (HR, legal, compliance, or competitive).
- Support admissions operations, enrollment processes, tuition assistance coordination, and school events.
- Assist the COO and CFO in daily business operations, including but not limited to:
- Maintain operational and financial controls
- Business development
- Project planning and implementation
- Budgeting and forecasting
QUALIFICATIONS
- Bachelor’s degree required; emphasis in business management, finance, accounting, or related field preferred. MBA or CPA is a plus.
- 5+ years of experience in business operations, school administration, or a related field; school experience preferred.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office, Google Workspace, and social media platforms.
- Highly organized with strong attention to detail and follow-through.
- Strong problem-solving, analytical, and systems-thinking skills.
- Proven ability to supervise staff, manage vendors, and oversee multiple functional areas.
- Calm, professional, and effective under pressure.
- Strong customer service orientation and ability to build relationships with families, staff, and vendors.
- Entrepreneurial mindset, developing new ideas and handling ambiguous or complex situations/projects.
- Hands-on team player.
