ROLE
The Business Operations Coordinator sits at the centre of Sysco’s delivery engine. The role exists to bring structure, momentum, and calm control to the moving parts that sit behind live projects.
Working as part of the Business Support team, the role acts as a trusted point of coordination across project teams, engineering, suppliers, and internal support functions. It keeps work flowing smoothly in a fast-paced, delivery-led environment where priorities shift and details matter.
Grounded in practical problem-solving, you’ll balance logistics, procurement, documentation, and day-to-day project operations, often across multiple projects at once.
It’s a busy role for someone who thrives in a busy environment full of plot twists and curveballs. You’ll be comfortable switching priorities, spinning multiple plates, and working proactively rather than waiting for direction. RESPONSIBILITIES:
Operations Support
- Provide practical, day-to-day coordination support across live projects, helping ensure delivery runs smoothly in a fast-paced, projects-led environment.
- Support project teams with a wide range of operational activities, including arranging travel, accommodation, visas, equipment, vehicles, and logistics for UK and international projects.
- Coordinate schedules, resources, and information across project managers, engineering teams, suppliers, and internal support functions.
- Process purchase orders and maintain accurate project-related documentation and data to support timely delivery and financial control.
- Maintain and take ownership of key project documentation and databases (such as BOQs, the Central Projects sheet, supplier databases, and related records), ensuring information is accurate, up to date, and fit for purpose.
Pricing and Procurement Support
- Coordinate day-to-day pricing and purchasing activity in collaboration with the Procurement Manager and provide cover and additional support in their absence to ensure continuity of service.
- Gather and maintain accurate pricing and supplier information, flagging discrepancies or risks early.
- Coordinate sourcing and purchasing of project-related materials and services, including just-in-time orders.
- Track orders through to delivery, proactively chasing suppliers and updating stakeholders.
- Manage returns and RMA processes, resolving issues quickly to minimise impact on delivery.
Business Support
- Share responsibility for supporting Sysco’s operations, including office spaces, equipment, vehicles, and activities such as company meetings and events.
- Work as a visible, collaborative member of the Business Support team, responding to general enquiries and providing practical administrative support to colleagues as required.
- Respond positively to ad hoc and time-sensitive requests, adapting quickly as priorities shift and business needs evolve.
- Proactively spot potential issues, gaps, or risks within project operations and raise them early, offering practical, solutions-focused support.
WHAT YOU’LL BRING:
- Confident working across tools like Slack, email, and other communication channels - quickly assessing what needs immediate attention and what can wait, without losing focus or accuracy.
- Good general IT skills, with confidence using spreadsheets, shared systems, data management and picking up new tools quickly.
- Manages multiple priorities with sound judgement across different types of tasks and levels of urgency.
- Communicates clearly and professionally with internal and external stakeholders.
- Keeps information, documentation, and systems organised and up to date.
- Approaches work collaboratively and steps in where support is needed.
- Understands how good operational coordination underpins creative and technical delivery.
- An interest in technology and how it supports creative and technical project delivery would be advantageous.
- This role suits someone who enjoys variety and responsibility, rather than a predictable, routine-based role.
