The Business Operations Manager partners with the CBO and Dean, working closely with the departments to support financial planning and resource allocation. Provide leadership to the College related to areas of fiscal management and assist with the planning, organizing, coordination, and oversight of daily business operations. Oversees EForm and transactional submissions for accuracy and university procedures. Manages accountant and administrative assistant in the Dean’s office.
Essential Duties And Responsibilities
Central Business Office Accounting:
- Review COS expenditures, budget transfers, interdepartmental transfers and accounting corrections. Manage, train and supervise the COS financial team and student employees. Provide support to the CBO in these areas.
- Design and manage an effective and efficient system of internal controls and procedures to produce reliable and accurate financial information which complies with University regulations, policies and procedures. Monitors workflow, reviews and evaluates financial and accounting procedures.
- Collecting Graduate Assistant and Adjunct instructor spreadsheets from COS departments. Will approve scholarship disbursement forms that route through the Dean’s Office for approval.
- Oversees and administers the budget for programs supported by the Dean’s Office. Monitors and controls expenditures; coordinates with the CBO and Dean on budget and expenditures related to the following programs:
- Data Science Program
- UG and Graduate Recruitment
- Marketing and Communication
- Science Learning Center
- Health Professions
- Approve monthly Pro-Card transactions.
- Interact with all levels of University and College of Science administrators, faculty, and staff. Works closely with departmental Administrative Service Officers and financial assistants in the college to manage college resources efficiently and effectively.
Budgeting
- Directing the annual budget process for the COS, including supporting departmental budget contacts by verifying salary spreadsheets, and providing other guidance as needed.
- Works closely with the CBO and the Budget Office to ensure that we meet deadlines.
- Works closely with the CBO and the Budget Office to coordinate budget transfer requests for Startup funds, Strategic Initiatives, and other special projects.
Approval Responsibility
- On behalf of the Dean, approve all COS HR and financial transactions submitted in UTShare as directed. Ensure that all UTA and COS accounting, budgeting and HR policies and procedures are followed in approving transactions.
Financial Reporting
- Prepare special financial reports as requested for the Dean, department chairs, faculty, staff and University administrators.
Other duties as assigned.
Minimum Qualifications
- Bachelor’s degree in accounting, business, finance, or related field.
- Three (3) years of experience managing budgets and fiscal affairs and administrative operations or an equivalent mix of education and relevant experience in similar role.
Preferred Qualifications
- Five (5) years of budget preparation and presentation in a college or university environment.
- Five (5) years supervisory experience working as an office manager.
- Excellent computer experience with spreadsheet and database proficiency (MS Office etc.).
- Excellent interpersonal, organizational and writing skills; ability to work independently, be detailed oriented, and able to work under stressful situations in order to meet deadlines.
Knowledge, Skills and Abilities
- Ability to multi-task and prioritize.
- Keen attention to detail.
- Advanced working knowledge of MS Office, including Work and Outlook or similar program.
- Expert in MS Excel, or similar program.
- Working experience with financial and personnel applications, similar to PeopleSoft.
- Excellent verbal and written communication and interpersonal skills.
- Ability to work under pressure and with confidential information.
