Role Overview
We are looking for a detail-oriented Business Operations Specialist to join our team. This role is critical in bridging the gap between vendor management and supply chain excellence. You will be responsible for managing day-to-day vendor interactions, optimizing appointment operations, and driving operational efficiency across our categories.
Key Responsibilities
Core Business Operations
- Vendor Communication: Manage appointment vs. PO coverage communication for T1/T2/T3 vendors using automated macros.
- Appointment Operations: Execute push/pull requests, quantity/carton edits, and time-slot adjustments via Jira.
- Compliance Monitoring: Notify vendors regarding PO expiry, quantity discrepancies (PO Qty < App Qty), and non-sort issues.
- Engagement: Conduct N+2 calls to T1/T2 vendors to ensure operational alignment.
- Escalation Management: Identify leakages and manage brand-level escalations.
- Inventory Health: Communicate low Days of Health (DOH) ASINs (Band A, B, C) to vendors.
- PO Lifecycle: Act on off-cycle and NCGT PO requests, routing approvals to the ISM team.
Operational Excellence (Op Ex)
- Vendor Enablement: Conduct VAST portal and ASIN forecast training for new vendors and refresher sessions for existing partners.
- Reporting: Generate ad-hoc inventory reports and basic data extracts from Vista.
- Logistics Coordination: Manage FRG/FRS by acting on rejections and vehicle sidelining before ticket issuance.
- Returns & Tickets: Oversee RTV (Return to Vendor) creation and follow-up, and resolve RVR tickets.
- Defect Reduction: Lead pilot programs with vendors to reduce Inbound (IB) defects and manage suppression follow-ups.
- Site Queries: Resolve VF/DF site queries related to inventory and removals.
Team Structure & Shift Details
- Dedicated Support: This role includes dedicated coverage for Private Brands (PB) and Fresh categories.
- Reporting Line: Biz Ops specialists report directly to the respective SISM/MISM.
- Shift Flexibility:
- One headcount dedicated to the daily second shift (2 PM to 11 PM) with Work from Home (WFH) flexibility.
- Second-shift focus includes FRG/FRS management and ad-hoc PO requests (post 4 PM).
- Weekend Support: Participation in a rotational weekend support roster is required.
Requirements
- Strong proficiency in managing operational workflows via Jira and Macros.
- Experience in vendor management or supply chain operations.
- Analytical ability to work with tools like Vista for reporting.
- Excellent communication skills for vendor training and escalation management.
- Ability to work in a fast-paced environment with specific shift timings.
