We are looking for a Head of Operations who can manage internal operations, coordinate teams, ensure smooth workflow, and maintain strong communication between the team, clients, and the agency founder.
Role Overview
The Head of Operations will be responsible for managing daily agency operations, coordinating tasks across departments, monitoring team performance, maintaining client relationships, and ensuring smooth communication between the team and management.
This role focuses on leadership, operations, coordination, and accountability rather than technical digital marketing work.
Key ResponsibilitiesOperations Management
- Manage the day-to-day operations of the agency.
- Assign tasks to team members including designers, video editors, social media managers, and sales team.
- Ensure all projects are delivered on time and meet company standards.
- Maintain workflow systems for smooth execution of client projects.
Team Coordination
- Monitor team productivity and performance.
- Ensure proper communication between departments.
- Conduct daily or weekly team meetings for work updates.
- Maintain discipline and work accountability within the team.
Client Relationship Management
- Maintain professional communication with clients.
- Conduct feedback calls with clients to ensure satisfaction.
- Arrange client meetings with the founder when required.
- Ensure smooth coordination between the internal team and clients.
Reporting & Performance Tracking
- Prepare regular reports for the founder regarding:
- Team performance
- Work progress
- Client updates
- Sales performance
- Track project completion status and delivery timelines.
Sales & Payment Monitoring
- Track sales performance updates from the sales team.
- Monitor client payment status and follow-ups.
- Coordinate with accounts team for payment tracking.
Administrative & HR Support
- Maintain employee attendance records.
- Track staff leaves and work schedules.
- Assist in employee onboarding and internal coordination.
- Maintain internal work systems and documentation.

Preferred Background
- Experience in operations management, business coordination, or team management
- Experience handling teams of 10+ people
- Experience working in agency, startup, or service-based business (preferred but not mandatory)
- Technical digital marketing knowledge not required

Compensation
Salary will depend on experience, leadership ability, and operational management capability.
