Reporting to the Associate Director, Athletics & Recreation, the incumbent is accountable for operational support, process management and administrative leadership in support of the Associate Director, the department and Sheridan-wide athletic initiatives. Under the guidance of the Associate Director, the incumbent coordinates processes for the department that include confidential transactional human resources, general and specialized operations, financial budgeting and control, athlete eligibility, bursary distribution, scholarship tracking and event planning. The incumbent is responsible for the supervision and oversight of 3 Full-time staff and approximately 94 part-time employees, mostly- but not exclusively- student staff responsible for front-facing customer service. The incumbent participates in the development of departmental short-and long-term planning (e.g. information gathering) and policies, procedures and manages the student database which houses athletic and academic information for student athletes. In addition, the incumbent is responsible for executing department projects and work against the backdrop of institutional initiatives and priorities, including new student orientation. They are required to organize and expedite the flow of work through the Athletics Office and to have a thorough understanding of Athletic and Recreation operations and activities in order to act on behalf of the Associate Director as appropriate and to escalate matters when necessary. The incumbent also leads and participates in projects and special events/initiatives such as Homecoming, Hall of Fame Ceremony, Athletic Banquet, Sky Blue Golf Tournament, Scholarship Tracking, Hosting Championships. Due to confidential aspects of this work, considerable discretion and judgement is required.
What You’ll Be Doing
- Provides organizational and operational support to the Associate Director and Athletic Department by acting as a main point of contact for students and coaches regarding inquiries, complaints and/or appeals, coordinates scheduling and maintains a central information sharing system for communication and department tracking.
- Represents the Associate Director with internal and external stakeholders.
- Provides direct supervision and leadership to facility coordinators, front-line student staff, and other front-line employees.
- Maximizing staff performance through effective recruitment and selection, development, mentoring/coaching, goal setting and ongoing performance evaluation and management.
- Working in collaboration with the Associate Director on annual budget development and creates initial budgets for new activities and projects which includes compilation of information and analysis.
- Overseeing the preparation and payment of purchase requisitions/invoices/expense claims and approves purchases within purchasing/signing limits and investigates any variances.
- Accountable for payroll and HR transactional processes
- Accountable for several Human Resources functions including hiring, contract creation, onboarding, management of grievance documentation, disciplinary actions as well as tracking and submission of absences, vacation schedules, lieu time and overtime payments.
- Leads projects, events and activities in support of the Athletics and Recreation Department including initial planning, research, vendor procurement, securing volunteers and logistics (décor, food, programs, speeches, presentations, entertainment etc.).
- Assisting in planning for short and long term projects that have college wide and/or athletic department impacted.
- Other duties as assigned.

The Successful Candidate Will Also Meet The Following Qualifications
- 4-year Bachelor’s degree (3-year diploma/degree + either a post grad. certificate and some professional certifications) in Office Administration, Business Administration, Event Planning, Accounting Operations, Project Management or other relevant field.
- 5 years experience working within a post secondary environment and preferably in a student service area (equivalency to be considered).
- Must have experience in a supervisory role with multiple reports/deadlines and layered organizational structure.
- Must understand OCAA, CCAA level sports and college level recreational activities including guidelines, manuals, policies and procedures and league standards.
- Must have experience with coordinating projects and events
- Must have experience with budgeting and project management .
- Must have previous experience in a leadership role where sound judgement, conflict resolution and relationship building were exercised.
- Must have a high level of proficiency with current office applications and technologies
- Flexible to work evenings and weekends as needed (for on-site events/activities)
