Job Description:
We’re a fast-scaling FinTech, founded by an experienced team that has previously built multi-million Euro companies. Over the past three years, we have established ourselves in a regulated €100bn+ market and are backed by leading founders, senior industry executives, and top-tier global VCs.
You will join a growing team at a pivotal stage and work closely with the management team to scale the company further.
We are looking for a Business Operations Associate to join us full-time starting asap.
Your Role:
As a Business Operations Associate at Xaver, you'll operate at the intersection of finance, compliance, and operations - directly supporting the management team in building the operational infrastructure behind a next-generation pension and wealth platform.
We've spent the last three years building product and winning customers. Now we need someone to help us professionalize the engine underneath - financial systems, governance frameworks, compliance documentation, and the operational models that let us scale without breaking.
You'll take ownership across business-critical topics - from driving our accounting platform migration and supporting our information security buildout, to managing compliance documentation and designing the KPI frameworks that keep the whole team aligned. The role is highly cross-functional: you'll work closely with the COO/CFO, our Legal & Compliance lead, Product, Engineering, and external partners to make sure decisions actually turn into execution.
Your Key Responsibilities:
Finance & Accounting Operations:
- Own the migration and buildout of our financial infrastructure as we scale - you don't need to be an accountant, but you need to be comfortable jumping in, figuring it out, and driving it forward.
- Support financial planning, budgeting, cash flow management, and runway planning.
- Coordinate with external partners (accounting, payroll, tax advisors) and support audit processes.
- Help structure and monitor revenue streams, billing logic, and contract-related financial flows.
Information Security & Compliance:
- Support the buildout of our information security framework - we're handling regulated pension products in a €100bn+ market, so getting this right matters.
- Support the writing of compliance documentation alongside our Legal & Compliance lead - bridging the gap between regulatory requirements and day-to-day operations.
Operational Frameworks & Performance:
- Design operational support models that keep cross-functional execution on track as we grow.
- Track key commercial and operational metrics and derive actionable insights to support growth and efficiency.
- Build and maintain business cases for new products, partnerships, and market opportunities as needed.
Cross-Functional Coordination:
- Be the lynchpin between founders, legal & compliance, product, engineering, and external stakeholders - the person who makes sure the threads connect.
- Drive accountability and follow-through across teams, ensuring that strategy doesn't stall between meetings.
- Support the evaluation, onboarding, and management of business and technology partners.
- Jump in wherever you see you can add value. This is an early-stage company and the role will evolve with you.
Your Qualifications:
- Bachelor's degree in Accounting, Business, Finance, Law or a related discipline. MBA is an advantage.
- 2–4 years of experience in one of: Big 4 audit or advisory (FS clients), operations at a scale-up fintech, regulatory or compliance consulting, or in-house ops at a regulated platform. We're open to adjacent backgrounds if you can demonstrate you work fast, accurately, and without needing constant oversight.
- You're the kind of person who sees a messy process and instinctively wants to fix it, document it, and make sure it doesn't break again.
- Comfortable working across finance, legal, and operational detail without losing sight of what actually matters for the business.
- Clear writer and direct communicator - you can translate between regulatory language, engineering reality, and commercial priorities without things getting lost.
- Fluency in English required, German is an advantage.
Reporting to: COO / CFO
Location: Company Headquarters in Cologne
What We Offer:
- Real influence on the product and company from early on, working alongside founders who've built successful companies before and investors who back the best in the category.
- A real growth path - increasing ownership and scope as you prove yourself.
- Empowerment and trust to let you drive your own projects from day one.
- Competitive remuneration. Additional company perks such a gym membership round up an individual package.
- An amazing office in the center of Cologne.
- A collaborative, inclusive, and forward-thinking work culture.
Application Process:
