THE ROLE
We are looking for a highly detail-oriented, entrepreneurial, and execution-focused Sales Operations Manager to join our growing team. This role is responsible for managing critical retailer operations needs including order flow, inventory coordination, invoicing, chargebacks, and sales reporting, ensuring accuracy and on-time execution across all retail partners. The Sales Operations Manager will serve as the central point of coordination across internal Sales and Finance teams and external Warehouse, Supplier and Retailer teams, ensuring seamless day-to-day operations and fulfillment. This role requires strong organization, follow-through, and the ability to proactively identify and resolve issues. The Sales Operations Manager position will report to the Trade Marketing & Retail Sales Director.
RESPONSIBILITIES
SALES OPERATIONS & FORECASTING:
- Own sales forecasting and projections (sell-in) across retail channels (Ulta US, MX, Middle East, Douglas and Nocibe, with UK accounts - Selfridges, Boots, etc)., ensuring alignment with business goals
- Work directly with the markets and their systems to roll up global projections in conjunction with internal Sales team and external demand planning consultant
- Monitor key performance metrics including forecast accuracy, inventory levels, and receipts against plan
- Responsible for weekly receipts planning updates and monthly sell-in reporting
- Build and maintain sales trackers, forecast files, and reporting tools that provide clear visibility into account and channel sell-in performance
- Partner closely with Key Account Manager to support planning, sell-in strategies, and ongoing performance management
- Provide timely reporting and data-driven insights to support ongoing business management and decision-making
RETAILER MASTER DATA & MARKET REGISTRATION:
- Own retailer product registration across all accounts and markets, ensuring all required documentation, timelines, and submissions are completed accurately and on time
- Manage ongoing updates and maintenance of retailer registrations, ensuring changes (new SKUs, reformulations, regulatory updates, etc.) are reflected across all partners
- Own end-to-end setup and maintenance of retailer product information (PIM/master data), ensuring all SKUs, pricing, product names, copy, imagery, and regulatory requirements are accurate across all systems
- Ensure all product data is submitted, approved, and live in line with retailer timelines and launch requirements
- Identify and resolve data discrepancies or errors across retailer systems, partnering with internal teams and retailers to correct issues quickly
- Maintain clear tracking of all product setup, registration status, and data updates across accounts
ORDER MANAGEMENT & INVENTORY EXECUTION:
- Own end-to-end purchase order (PO) management, including order entry, change management, tracking, and fulfillment coordination
- Ensure all retailer operational requirements (routing guides, compliance standards, etc.) are met
- Manage retailer portals and operational requirements, ensuring full compliance across accounts
- Work in lockstep with internal team on order placements (qty & timing), & PD agency partner, Batallure, on incoming inventory delivery needs and tracking
- Track and manage inbound shipments from product development and suppliers, ensuring timely delivery to warehouse
- Communicate inbound shipment details to warehouse and cross-functional teams to ensure accurate receiving and inventory updates
- Monitor inventory levels and availability, flagging risks (out of stocks, delays, shortages) internally and with retailers to drive resolution
- Partner with external demand planning agencies and internal stakeholders to drive accurate forecasting and replenishment ensuring optimal stock levels and high in-stock rates
- Support supply chain optimization to improve operational efficiency
- Own and continuously improve sales and operational processes, by proactively addressing operational bottlenecks
- Use an EDI system to manage orders, as well as manually manage orders for select retailers
- Maintain detailed internal PO tracking files, updating consistently in a timely manner
- Evaluate and optimize operational tools, systems and reporting platforms to improve efficiency and visibility
FINANCIAL OPERATIONS:
- Track all discounts, promos, co-op spend, retail media funding
- Ensure proper accruals and budget adherence
- Investigate and resolve retailer deductions/chargebacks
- Oversee end-to-end invoicing management and payment collection processes
- Partner with Finance to track revenue and manage deductions
- Own retailer chargeback and billback tracking and resolution, including identifying root causes and driving corrective actions
- Ensure accuracy and integrity of financial and operational data across systems including accurate records of all orders, invoices, and retailer-related transactions
- Maintain organized trackers, documentation, and systems to support day-to-day operations
- Serve as a key source of truth for sales, inventory, and operational performance metrics
WHAT YOU BRING
- Bachelor's degree preferred
- 5+ years of Sales Operations experience required
- Beauty experience preferred
- Previous experience working with Ulta Beauty preferred
- Previous start-up experience at a consumer brand preferred
- EDI System experience required
- SPS EDI experience preferred
- Self-motivated, able to work independently
- Systems/process mindset
- Ability to influence without direct authority
- Aptness to recognize issues, foresee challenges and troubleshoot accordingly
- Excellent written and verbal communication skills
- Stellar analytical skills and attention-to-detail
- Proficient in Microsoft Office and Google Suite
- Based on East Coast preferred
- Ad hoc West Coast hours availability necessary
- Light travel required
