About the Role
The Sales Operations Coordinator supports the end-to-end sales process by ensuring orders are processed accurately and efficiently, while acting as a central point of coordination between Sales, Operations, and Finance.
This role is key to keeping order flow smooth, billing accurate, installations well organised, and payments collected on time.
Key Responsibilities
Order Management & Processing
- Review, validate, and process sales orders for accuracy and completeness
- Ensure all order details (pricing, terms, discounts etc.) are correctly documented
- Manage the order lifecycle from quote through to invoicing and delivery including changes to dates, products and timescales
Billing & Payment Collection
- Monitor outstanding customer orders and payment status
- Proactively chase overdue invoices via email and phone
- Reconcile payments and resolve discrepancies with customers and internal teams
Customer Installation Coordination
- Schedule and coordinate customer installation dates
- Ensure all relevant customer details are accurate
- Communicate installation timelines clearly to customers
- Provide customers with required safety instructions and pre-installation information
Cross-Functional Coordination
- Act as the main liaison between Sales, Operations, and Finance
- Ensure smooth handoff from order confirmation to fulfilment and billing
- Resolve discrepancies or issues across teams quickly
Sales Support
- Assist sales team with administrative tasks (quotes, documentation, order setup)
- Provide general coordination support to keep orders progressing smoothly
About You
- Highly organised with strong attention to detail
- Proactive and comfortable following up on outstanding items
- Confident communicating with customers and internal teams
- Able to manage multiple tasks and priorities simultaneously
- Strong sense of ownership and accountability
- Comfortable working behind the scenes in a fast-moving environment
Desirable
- Experience in order processing, billing, or sales/operations support roles
- Familiarity with invoicing, billing cycles, and credit control processes
