The Sales Operations Specialist sits at the intersection of Sales and Fulfillment, supporting the systems, processes, and tools that move a SmartLab from proposal to delivered product. The right candidate will be comfortable with the wide range of responsibilities this role embodies, If you are someone who picks things up quickly, pitches in where needed, and brings a solutions-first attitude when priorities shift, this may be the right job for you. You will work closely with a high-standards leader and at an organization who values people who think on their feet and can take feedback in stride. This is a hybrid position based out of our Longmont, Colorado warehouse, with roughly three days per week on-site (sometimes more, sometimes less depending on schedules and seasonality) and flexibility to work remotely the rest of the time.
Duties And Responsibilities
Proposals, Pricing, and Configuration
- Support customer proposals, product configurations, and SmartLab pricing for Sales and Customer Success
- Maintain internal configuration tools and documentation used to generate pricing, deliverables, and lab-specific documents
- Ensure proposals and quotes are timely, accurate, and consistent across Sales and Customer Success
- Process and manage purchase orders across multiple systems, resolving discrepancies with internal teams and vendors
Salesforce, Systems, and Revenue Operations
- Support ongoing improvements in Salesforce and related systems across the full pre-sale to post-sale cycle, including data entry, quality checks, and basic reporting
- Develop working knowledge of Salesforce Price Book and quoting objects to support testing, troubleshooting, and process improvements
- Help refine approval workflows in Salesforce for discounts, exceptions, and non-standard terms
- Assist with ERP and quote-to-cash tool changes by providing operational input, testing scenarios, and documenting processes
Reporting and Dashboards
- Build and maintain recurring reports and dashboards in Salesforce and Excel for Sales, Business Development, Customer Success, Integrated Operations, and Fulfillment
- Monitor data quality in key systems and partner with stakeholders to resolve issues affecting reporting and order accuracy
Sales Enablement and Cross-Functional Support
- Support Sales and Customer Success leaders with training materials and quick-reference guides on proposal tools, Salesforce processes, and dashboards
- Serve as an operations partner across Sales, Business Development, Customer Success, Integrated Operations, and Fulfillment to align handoffs across the quote-to-cash journey
- Support the RFP process by coordinating cross-functional inputs and helping ensure accurate, compliant submissions
Fulfillment and On-Site Warehouse Support
- Provide periodic on-site fulfillment support including picking, packing, shipping preparation, and basic inventory support
- Partner with warehouse and fulfillment team members to support accurate, on-time delivery of SmartLab and catalog orders
- Assist with occasional lifting, moving, and staging of product, generally up to 30-40 pounds, in accordance with safety guidelines
Requirements
Education and Experience
- Bachelor's degree in a related field preferred, or equivalent combination of education and relevant experience
- 2+ years of experience in sales operations, revenue operations, fulfillment operations, or a similar role preferred
- Experience supporting proposals, pricing, product configuration, RFP responses, or order processing is preferred
- Experience with Salesforce or another CRM is strongly preferred; ERP or MRP experience is a plus
- Proficiency with Microsoft 365, especially Excel, Outlook, and Teams, is preferred
- Background in K-12 education or EdTech is helpful but not required
Knowledge, Skills, And Abilities
- Working knowledge of sales operations, order processing, and cross-functional business workflows
- Ability to learn and use business systems quickly, including CRM, ERP, and related tools
- Ability to build, maintain, and interpret reports and dashboards with strong attention to detail
- Analytical mindset with the ability to identify process gaps, data issues, and practical solutions
- Ability to manage multiple tasks, shift priorities, and meet deadlines in a fast-paced environment
- Clear written and verbal communication skills, including the ability to document processes and support user training
- Ability to work effectively across Sales, Customer Success, Integrated Operations, Finance, and Fulfillment
