SALES & OPERATIONS COORDINATOR
GREAT BEAR CARBON
Great Bear Carbon (GBC) manages, markets and sells carbon offsets generated by the largest Indigenous-owned forest carbon project in Canada – The Great Bear Forest Carbon Projects. GBC is owned-by 7 coastal First Nations and manages carbon offsets on behalf of 10 First Nations located on Haida Gwaii and throughout the Great Bear Rainforest. Revenue from the sale of GBC offsets is distributed directly to the First Nations for investment into stewardship and community initiatives.
POSITION OVERVIEW
The Sales & Operations Coordinator is a key support role at Great Bear Carbon responsible for coordinating day-to-day sales activities, operational, and finance activities that enable the organization to market and deliver carbon offsets from the Great Bear Forest Carbon Projects. Reporting to the Operations and Finance Manager and working closely with the Associate Director, Partnerships, this position administers sales processes from inquiry through invoicing and retirement certificates, maintains accurate records in systems such as Cloverly Catalyst, HubSpot, the BC Carbon Registry, and supports inventory reconciliation and reporting. The role also provides broad administrative and office management support, including meeting coordination, records management, IT and subscription support, basic bookkeeping functions, and assistance with annual audit preparation. In addition, the Sales & Operations Coordinator helps plan and deliver special initiatives such as the 15th year anniversary activities, while contributing to an efficient, organized, and culturally respectful workplace that advances the carbon revenue benefits owned by the First Nations that GBC represents.

KEY RESPONSIBILITIES
Sales
- Respond to sales inquiries/requests via email, phone, and in-person
- Complete and coordinate with clients for onboarding Know Your Client documentation
- Participate in calls and in-person meetings with sales partners and existing clients
- Work with sales partners and direct clients to confirm sale needs, i.e. Inventory, pricing, materials, etc.
- As requested by the Associate Director, lead calls with sales partners and direct clients
- Enter confirmed sales into Catalyst and update for invoices and deliveries
- Enter all sales in sale pipelines and track all sale communications in HubSpot
- Create and provide retirement certificates for all direct buyers
- Conduct or support bi-annual follow-ups with direct voluntary clients/buyers
- Support inventory management working with the Associate Director to: generate monthly reports; and reconcile inventories between internal inventory software and the BC Carbon Registry
- Ensure all sale delivery obligations are fulfilled on the BC Carbon Registry as per contracted delivery dates
- Understand and communicate knowledge of founding agreements that established the Great Bear Forest Carbon Projects
- Support and implement sales process automation utilizing systems and AI
Operations
- Coordinate for office supplies, equipment and office inventory management
- Organise meetings, appointments and travel arrangements
- Create and maintain meeting records (e.g., minutes, recordings etc.)
- Support preparation, consolidation and distribution of meeting materials
- Maintain and update databases (inventory, contracts/agreements, budgets, etc.)
- Coordinate employee set-up and access for IT/software
- Renew memberships and subscriptions (e.g., software, associations)
- Manage files (digital and paper) and incoming mail
- Track GBC’s GHG emissions
- Maintain office common areas and ensure cleanliness and functionality
- Provide administrative support to the CEO as required
- Provide support for and/or lead special projects or initiatives that may arise
- Assist with other (administrative) tasks as needed
Finance
Sales
- Create and issue sale invoice receivables including inventory selection, coding, applying tax, submitting for approval and sending to clients and finance team
- Follow-up with outstanding Accounts Receivables on a bi-weekly basis
Operations
- Code and upload invoices, monthly credit card reconciliation, travel claims, honorariums, and out-of-pocket expenses
- File and upload finance documents (e.g., monthly bank account statements, investment statements, tax documents etc.)
- Provide support for annual audit (e.g., consolidating and sending information and other support as required)
REQUIREMENTS
- 1+ year experience in sales environment
- 2+ years experience supporting and/or reporting on financials
- 2+ years administrative experience (e.g., office management, records management)
- High school diploma
- Post-secondary office administration (e.g., Certificate in Office Administration or similar study) or an equivalent of work experience
- Knowledge or interest to learn about carbon project types, carbon markets and follow market developments on an ongoing basis
- Highly adaptable to a growing and changing environment
- “Growth” mindset and enthusiasm to learn new skills
- Excellent in use of all Microsoft Office applications – Word, Excel, Outlook, and PowerPoint
- Strong experience in various software programs (financial management, sales pipelines, CRM and other databases) and AI

ASSETS
- Experience with Indigenous organizations and/or with Indigenous communities
