We are looking for a driven, organized, and client-focused Operations Manager to become a key member of our team. This role sits at the intersection of financial planning support, client relationship management, practice operations, and marketing. You will work directly with the principal advisor and play a central role in the day-to-day functioning and growth of the practice.
This is not a passive administrative role. We are looking for someone who takes initiative, thinks ahead, and brings energy and ideas to the table. If you are the kind of person who identifies a gap and fills it without being asked, you will thrive here.

• Support the preparation and coordination of financial planning, insurance, and investment client files and compliance documentation
• Maintain and manage the CRM system, ensuring client records, follow-up tasks, and pipeline activity are current and accurate
• Proactively reach out to existing clients to support relationship management, referrals, and cross-service opportunities
• Coordinate and book client appointments, manage the advisor's calendar, and support day-to-day scheduling
• Assist with the creation and scheduling of marketing content for LinkedIn and other platforms
• Support outreach campaigns to the existing client database
• Assist with general financial services administration as needed, including lending and insurance-related documentation
• Identify opportunities to improve practice workflows and take ownership of implementing improvements

• A background in finance, banking, insurance, or investments is strongly preferred
• Strong client service orientation with a warm, professional communication style
• Experience with CRM systems and comfort with digital tools and platforms

• High attention to detail and strong organizational skills
• The ability to manage multiple priorities independently
• Experience in a financial services, mortgage brokerage, or banking environment is a strong asset
