This is a full-time, on-site position, Monday through Friday, 9:00 AM to 5:00 PM. Working from home or remote work is not available for this role.
Compensation
Salary range: $45,000 to $52,000 per year.
Potential commission on inside sales may be available.
Role Summary
We are seeking a reliable, detail-oriented Sales Operations & Office Administrator to support daily office operations, order processing, customer follow-up, reseller communication, and marketing database management. This role requires strong organizational skills, professional communication, comfort using business software, and the ability to manage multiple administrative and sales-support tasks throughout the day.
Key Responsibilities
Accounts Receivable & Office Records
- Review accounts receivable and help keep financial follow-up organized.
- Maintain accurate filing, office records, and administrative documentation.
- Perform general office administrative duties as needed.
Order Entry & Order Tracking
- Perform order entry and track customer orders from receipt through fulfillment.
- Use Shopify for order entry and order tracking as needed.
- Enter Pottery Barn orders into Lightspeed.
- Use SPS Commerce and Rithum software for order processing and related workflows.
Mailchimp & Marketing Support
- Maintain and update Mailchimp with new email addresses from prospects, clients, and resellers.
- Assist with Mailchimp email campaigns, including list updates and campaign support.
- Help keep marketing contact data accurate and current.
Reseller Outreach & Sales Follow-Up
- Call resellers throughout the USA and Canada to update sales representative names and email addresses.
- Confirm manager names and email addresses for reseller accounts.
- Ensure resellers have current catalogs and the latest price lists.
- Follow up on potential sales opportunities and open questions.
- Customer, Prospect & Reseller Communication
- Respond to inquiries by email or phone in a professional and timely manner.
- Follow up with prospects, customers, and resellers to support sales activity.
- Document important updates so account information stays accurate.
- Technology & AI Support
- Use AI tools to assist with drafting emails, organizing information, research, data cleanup, and workflow support.
- Learn and use company software systems accurately and consistently.
Qualifications
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Comfortable making outbound calls to customers, resellers, and prospects.
- Ability to follow up consistently and keep records updated.
- Strong organizational and time-management skills.
- Ability to work independently and manage multiple tasks.
- Experience with order entry, customer service, sales support, or office administration preferred.
