Position Summary
The Delaware Valley Industrial Resource Center (DVIRC) is seeking a highly organized, technology-savvy Sales Operations Coordinator to support our business development, consulting, training, and defense initiatives. This role is responsible for coordinating sales processes, maintaining CRM data integrity, supporting pipeline management, generating reports, and ensuring seamless communication across multiple departments.
The ideal candidate is detail-oriented, proactive, comfortable working with data and technology, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
Sales Operations & CRM Management
- Maintain and administer Salesforce CRM, ensuring data accuracy and completeness.
- Track leads, opportunities, proposals, contracts, and project status.
- Monitor sales pipelines and support development of regular forecasting reports.
- Generate dashboards, KPIs, and performance metrics for leadership.
- Support business development staff with account management and opportunity tracking.
- Ensure all sales and marketing activities are properly documented and reported.
Coordination & Project Support
- Coordinate communication between Sales, Marketing, Consulting, Finance, and Operations teams.
- Assist with proposal development, contract processing, and project initiation.
- Track key milestones and follow up on outstanding actions.
- Support events, training, and network group registration processes.
- Coordinate client onboarding activities and internal project handoffs.
Technology & Process Improvement
- Leverage AI tools and automation platforms to improve efficiency.
- Identify opportunities to streamline workflows and eliminate manual processes.
- Support implementation and adoption of new technologies and software platforms.
- Assist with data analysis and reporting initiatives.
Administrative Support
- Prepare reports, meeting materials, and executive summaries.
- Schedule meetings and coordinate internal and external communications.
- Maintain organized electronic records and documentation.
Required Qualifications
- Associate or bachelor’s degree in business, Marketing, Operations, Information Systems, or related field.
- 3+ years of experience in sales operations, business operations, project coordination, or related role.
- Strong proficiency with CRM platforms (Salesforce preferred).
- Advanced Microsoft Office skills, particularly Excel, PowerPoint, and Outlook.
- Experience with data analysis, reporting, and dashboard creation.
- Excellent organizational, communication, and follow-up skills.
- Ability to manage multiple projects simultaneously.
Preferred Qualifications
- Experience with AI-powered business tools and workflow automation.
- Experience in manufacturing, consulting, economic development, or government contracting environments.
- Knowledge of marketing automation platforms.
- Familiarity with Tableau, HubSpot, or similar reporting tools.
