About Scispot
Scispot is building the AI operating system for modern biotech companies.
Our customers are biotech, pharma, and life sciences teams that want to move faster across R&D, data, automation, and scientific workflows. We are growing quickly after our Series A and are building the operating backbone needed for the next stage of scale.
We are looking for a Business Operations Principal to work directly with the CEO and own the systems, processes, and decisions that keep the company moving fast. This is a high-trust, high-agency operator role for someone who can turn chaos into systems, protect the CEO’s time, and help the company scale without adding bureaucracy.
The Role
You will be the CEO’s operational partner.
Your job is to remove friction from the business. You will own cross-functional work across finance operations, legal operations, people operations, vendor management, board preparation, executive workflows, company policies, and internal systems.
You should be comfortable switching between a board deck, an employment agreement, a vendor negotiation, a payroll issue, a travel policy, and a CEO calendar conflict in the same day.
The right person will not wait to be told what to do. They will see what is broken, create options, recommend a path, and drive it to completion.
What You’ll Own
CEO Leverage & Executive Operations
- Protect the CEO’s calendar and focus.
- Help the CEO spend more time on customers, product, hiring, fundraising, and strategy.
- Turn loose CEO thoughts into structured plans, decisions, memos, and follow-through.
- Prepare agendas, decision docs, and follow-up actions for key meetings.
- Act as a trusted operator who can represent the CEO’s thinking when needed.
Finance & Business Operations
- Work with accounting, finance, banking, payroll, and external advisors.
- Help manage cash movement, vendor payments, contractor payments, payroll workflows, and approval processes.
- Track recurring spend, subscriptions, vendor renewals, and unnecessary costs.
- Help build basic operating dashboards around burn, runway, hiring, vendors, and cash needs.
- Support bank, insurance, EOR, payroll, and vendor negotiations.
Legal, Compliance & Risk
- Own legal operations workflows with external counsel.
- Track contracts, NDAs, employment agreements, contractor agreements, insurance policies, renewals, and signatures.
- Help improve templates and processes for NDAs, MSAs, contractor agreements, employment agreements, and IP protection.
- Work with counsel and advisors to identify compliance gaps before they become problems.
- Manage insurance, employment-related policies, and other risk workflows.
People Operations
- Build and maintain onboarding and offboarding processes.
- Own employee and contractor records.
- Help create and maintain policies around vacation, sick leave, travel, expenses, equipment, remote work, security, and conduct.
- Support hiring workflows, candidate scheduling, offer letters, EOR setup, and contractor onboarding.
- Help create the company handbook and keep it practical, clear, and current.
Board, Investor & Governance Operations
- Help prepare board materials, investor updates, and governance workflows.
- Track board action items and follow-ups.
- Maintain clean documentation for major company decisions.
- Help organize board meetings, customer advisory sessions, and strategic offsites.
- Manage sensitive information with discretion.
Systems, SOPs & AI-Forward Operations
- Turn repeated work into SOPs, checklists, templates, and automations.
- Use AI tools heavily for research, drafting, comparison, and analysis.
- But do not outsource judgment to AI.
- Build workflows that make the company faster without making it heavier.
- Partner with internal teams to automate reporting, approvals, reminders, and operational workflows.
