Position Summary
The Business Operations Manager serves as the operational hub of the organization, ensuring that people, processes, systems, and technology work together seamlessly across all clinic locations.
This role is ideal for a highly resourceful, systems-oriented professional who enjoys solving complex problems, optimizing workflows, and managing operational processes. The Business Operations Integration Manager will develop deep expertise in the organization's technology ecosystem and operational workflows, serving as the primary point of contact for operational questions, system issues, vendor coordination, and process improvement initiatives.
Success in this role requires strong critical thinking skills, intellectual curiosity, exceptional organization, and the ability to understand how multiple departments, workflows, and technology platforms interact to support patient care and business operations.
Key Responsibilities
Operational Systems & Workflow Ownership
- Become the subject matter expert on operational workflows across all clinics and departments.
- Develop a comprehensive understanding of the patient journey from scheduling through discharge.
- Maintain and improve operational policies, workflows, and standard operating procedures.
- Identify opportunities to improve efficiency, scalability, and consistency across locations.
Technology Platform Management & Systems Integration
- Serve as the primary operational administrator and subject matter expert for the company’s tech stack:
- Phreesia & Rivia (digital patient intake, appointment management, check-in, payment collections)
- Athenahealth (EMR)
- Privia Connect (employee & internal operations portal)
- ZocDoc
- RingCentral (cloud-based phone system)
- AI and automation platforms
- Future operational technologies
- Configure workflows, forms, templates, and operational settings within systems.
- Coordinate employee technology access, system setup, and operational readiness.
- Troubleshoot platform issues and coordinate escalations with vendors.
- Evaluate, test, and implement system enhancements and new technology solutions.
- Develop documentation and training resources related to operational systems.
Clinic Operations Support
- Serve as the primary operational resource for clinic teams and providers.
- Respond to operational questions and troubleshoot workflow challenges.
- Investigate and resolve operational issues involving multiple systems, departments, or vendors.
- Support clinic teams in maintaining consistent operational practices across all locations.
Process Improvement & Analytics
- Analyze operational performance and identify trends.
- Recommend and implement workflow improvements.
- Develop dashboards, reports, and tracking tools to support operational decision-making.
- Support organizational growth through scalable operational design.
Vendor Management
- Maintain relationships with operational technology vendors.
- Coordinate issue resolution, platform enhancements, and ongoing support.
- Evaluate new vendors and operational solutions as needed.
QualificationsRequired
- 3–7 years of experience in operations, business operations, systems administration, implementation, project management, or related fields.
- Experience supporting multiple locations, departments, or business units.
- Strong technical aptitude and ability to quickly learn new systems.
- Exceptional organizational, analytical, and problem-solving skills.
- Excellent communication and stakeholder management abilities.
- Ability to manage multiple priorities in a fast-paced environment.
Preferred
- Experience in healthcare, fitness, franchise, hospitality, retail, or other multi-unit organizations.
- Experience with healthcare technology platforms.
- Familiarity with credentialing, provider onboarding, or healthcare operations.
- Experience with workflow automation and AI tools.
