Role Overview: The Business Coordinator will play a key role in supporting daily business operations by coordinating vendor activities, overseeing procurement processes, tracking product shipments, and assisting with financial administration. Business Operations Coordinator Responsibilities:
- Coordinate domestic and international product shipments, ensuring timely delivery and proactively addressing transportation or routing issues.
- Serve as the primary point of contact for logistics updates by communicating with freight partners and providing regular status reports to internal stakeholders.
- Monitor project timelines, purchase orders, and delivery schedules to ensure business objectives remain on track.
- Prepare, submit, and maintain purchase orders while ensuring all required approvals and supporting documentation are completed.
- Partner with internal operations and logistics teams to investigate and resolve receiving discrepancies and shipment-related issues.
- Work closely with suppliers to confirm complete and accurate order fulfillment and coordinate expedited shipments when business needs require.
- Support documentation and compliance requirements related to inventory and procurement processes.
- Collaborate with Finance and Accounts Payable to facilitate timely vendor payments, validate invoices, and resolve payment exceptions.
- Maintain accurate spending records and prepare recurring budget and expenditure reports.
- Coordinate procurement for recurring marketing materials, promotional products, and merchandising items.
- Assist with sourcing initiatives for new promotional products and support additional operational projects as needed
Business Operations Coordinator Qualifications:
- Experience in business operations, executive administration, procurement, supply chain, project coordination, or a related field.
- Strong knowledge of purchase order processing, invoice reconciliation, and vendor management.
- Familiarity with logistics coordination, shipment tracking, and supplier communications.
- Ability to build effective partnerships with Finance, Marketing, Operations, and external vendors.
- Exceptional organizational skills with the ability to prioritize multiple assignments in a deadline-driven environment.
- High level of accuracy and attention to detail.
- Proficiency in Microsoft Office applications, especially Excel.
- Experience using procurement, purchasing, or ERP systems is preferred.
- Strong written and verbal communication skills with a customer-service mindset.
- Bachelor's degree or equivalent combination of education and relevant experience is preferred.
