High-growth AI startup at the center of the AI industry is looking for a Business Operations Manager to support their fast-growing operational load. This is a high-trust seat: you'll own finance operations (invoicing, AP, vendor and customer accounts), contract administration, and people ops and onboarding, while also supporting the leadership team's day-to-day operating cadence. You'll work directly with the founders and Chief of Staff and hold some of the most sensitive information in the company, with real room to grow into an operations leadership role as the company scales. Someone who is low-ego, sharp, and comfortable picking up an ambiguous problem and running it to done without waiting for direction. Someone who is highly organized, discreet with sensitive information, and genuinely excited to work with AI-native tools. This is an in-office role, five days/week, based in San Francisco's Financial District. 100-160K DOE + equity, 401K with match, and 4 weeks PTO.
Responsibilities:
- Own finance operations, including invoicing and receivables, accounts payable, expense management, and monthly close support with the external accounting team.
- Manage contract administration for customer and vendor agreements, NDAs, statements of work, and data protection agreements, including signature workflows, renewal tracking, and a first-pass read on risk and key terms.
- Run customer and supplier onboarding, covering contracts, billing details, procurement, security questionnaires, and systems access.
- Own onboarding and people operations, including equipment, systems access, payroll setup, and first-week logistics for new hires, plus coordinating people and immigration matters alongside outside counsel.
- Run the office and guest experience, including hosting visitors, team events, and travel and leave coordination.
- Support the leadership team's operating cadence by preparing materials and tracking actions and decisions.
- Evaluate and own the company's operational tooling, replacing manual processes with systems and embracing an AI-native way of working.
Qualifications:
- Previous 4+ years of experience in business operations, finance operations, or a chief-of-staff-adjacent role in a high-growth environment, ideally at a startup.
- Demonstrated excellence, both academically and professionally, with a track record references can speak to directly.
- Extreme organization and follow-through - things handed to you do not come back undone.
- Sound judgment and discretion with sensitive information, including compensation, legal, and financial details.
- Strong written and verbal communication skills, with the ability to build trust quickly with senior stakeholders.
- Proactive and solutions-oriented, comfortable picking up an ambiguous problem, scoping it, and running it to done without waiting for direction.
- Low ego and willing to do whatever it takes to keep the business running smoothly.
- Genuine excitement about AI and eagerness to work with AI-native tooling.
- Experience at a fast-scaling startup, familiarity with accounting/payroll/HRIS tooling, and experience reviewing commercial documents are all a plus, though not required.
