Business Operations Coordinator

TalentAlly is seeking a motivated, detail-oriented, and proactive Business Operations Coordinator to support the daily operations of our recruiting and event platforms.
This role is responsible for monitoring operational performance, reviewing system-generated reports, maintaining data quality, organizing candidate information, identifying opportunities to improve customer engagement, and supporting continuous business process improvements.
The ideal candidate is organized, resourceful, and eager to learn. We are looking for someone who enjoys solving problems, pays close attention to detail, takes initiative, and is always looking for ways to improve processes and operational efficiency.
** This position is located in Chicago, IL. It is mandatory to be physically present in the office from Tuesday through Thursday each week. Relocation assistance is not provided.**
Key Responsibilities
Business Operations
- Review and verify daily system-generated reports to ensure accuracy and identify operational issues.
- Monitor platform performance and escalate discrepancies or system concerns when necessary.
- Maintain operational records and support day-to-day business activities.
- Assist with testing new platform features and business processes.
- Ensure operational data is accurate, complete, and up to date.
Platform & Customer Monitoring
- Monitor customer activity across recruiting and event platforms.
- Identify customers that may require additional support or management attention.
- Prepare operational summaries and communicate key observations to management.
- Track customer engagement trends and recommend opportunities to improve platform utilization.
Candidate Data Management
- Review, organize, and maintain candidate resumes submitted through recruiting and event platforms.
- Ensure candidate information is accurate, complete, and properly categorized.
- Maintain high-quality candidate records to support recruiting operations and future platform enhancements.
- Perform ongoing quality control of candidate and platform data.
Process Improvement
- Identify opportunities to improve operational efficiency and internal workflows.
- Recommend process improvements that enhance productivity and data quality.
- Assist in documenting standard operating procedures and operational best practices.
- Collaborate with cross-functional teams on operational initiatives and special projects.
Qualifications
Required
- Bachelor's degree in Business, Operations, Human Resources, Information Systems, Marketing, or a related field.
- 1–3 years of experience in business operations, recruiting operations, customer operations, administration, project coordination, or a related field.
- Strong organizational skills with exceptional attention to detail.
- Excellent problem-solving and critical thinking abilities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Excel, Word, Outlook, and Google Workspace.
- Ability to manage multiple priorities in a fast-paced environment.
- Self-motivated with the ability to work independently while collaborating effectively with a team.
- Comfortable learning new software and technology platforms.
Preferred
- Experience working with recruiting platforms, CRM systems, ATS, or business management software.
- Experience reviewing operational reports and maintaining data quality.
- Experience supporting multiple departments or cross-functional teams.
- Interest in business operations, technology, and process improvement.
