About the Role
We are seeking a highly organized, detail-oriented, business-minded Business Operations Specialist to support the day-to-day operations and continued growth of our organization.
This role provides broad exposure to day-to-day operations, client service, business processes, documentation, compliance, project coordination, and process improvement. You’ll work closely with leadership, clients, and cross-functional teams to keep critical business activities moving forward, coordinate deliverables, support projects, and identify opportunities to improve how we work.
The ideal candidate is a strong communicator and problem solver who takes ownership, manages multiple priorities effectively, and is eager to understand the bigger picture.
What You’ll Do:
Business Operations & Process Improvement
- Support day-to-day business operations and ensure key processes and procedures are completed accurately and efficiently.
- Document, maintain, and improve policies, procedures, and workflows. Including but not limited to assisting with the implementation of new processes, systems, and operational initiatives as the business grows.
- Identify opportunities to streamline processes, improve efficiency, and enhance the overall client experience.
- Support corporate entity formations, business initiatives, and other special projects.
- Analyze operational information and department KPI’s and assist with identifying trends, issues, and opportunities for improvement.
Client & Business Support
- Serve as a reliable point of contact for clients, business partners, internal stakeholders, and other external parties as needed to obtain critical business information while maintaining timely and professional communication across all channels.
- Draft, review, and coordinate client documentation, corporate documents, agreements, amendments, compliance materials, and other business documentation.
- Track deadlines, deliverables, and outstanding items to ensure projects and client matters are handled and completed within the departments KPI’s.
- Prepare and distribute client correspondence, reports, and recurring deliverables.
- Support annual filings, quality assurance activities, and other client servicing requirements.
- Assist with clients onboarding and ongoing account administration.
- Develop a strong understanding of client needs and help ensure a high level of service and responsiveness.
Corporate & Regulatory Support
- Develop a working knowledge of formation and management of various corporate structures, products, terminology, and business processes.
- Assist with regulatory filings, corporate documents, and other compliance-related requirements.
- Coordinate documentation and information required for operational, financial, legal, and business reviews.
- Maintain organized records of filings, approvals, and other regulatory documentation.
- Monitor applicable deadlines and follow up with internal and external clients to ensure requirements are completed within the departments established KPI’s.
Project & Leadership Support
- Work closely with department leadership on projects, reporting, presentations, and strategic initiatives.
- Coordinate meetings, projects, and follow-up items across internal teams.
- Prepare meeting materials, presentations, notes, reports, and other business documentation.
- Provide leadership with updates on project status, priorities, and outstanding action items.
- Assist with research and analysis related to new business opportunities, operational initiatives, and strategic projects.
- Support the development and implementation of department goals and initiatives.
Documentation & Quality
- Draft, format, organize, and proofread business, corporate, and legal documentation with a high degree of accuracy.
- Maintain organized and up-to-date client and company records.
- Ensure data is entered accurately and confidential information is handled appropriately.
- Review documents and information for completeness, consistency, and accuracy.
- Manage multiple priorities while maintaining strong attention to detail and meeting deadlines.
What We’re Looking For
- Bachelor’s degree in business, finance, insurance, legal, or a related field preferred.
- A proactive, solutions-oriented mindset with an interest in learning, improving processes, and finding better ways to work.
- 1–4 years of experience in business operations, insurance, financial services, legal, professional services, client services, or project coordination.
- Strong organizational skills with excellent attention to detail and follow-through.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced business environment.
- Strong proficiency with Microsoft Office, particularly Excel, Word, and PowerPoint.
- Ability to work independently while collaborating effectively with leadership and cross-functional teams.
- Strong analytical and problem-solving skills with the ability to research information and draw thoughtful conclusions.
- Ability to handle confidential client and business information with professionalism and discretion.
- Comfort working with business, financial, legal, and regulatory documentation.
- Reinsurance or insurance experience is a plus but not required.
