Job purpose:
The purpose of the Sales Operations Administrator- Pricing and Contracts lead is to take ownership of the pricing, contracts and tender submission processes. Ensure all pricing files are accurate and up to date. Provide accurate analysis of pricing and contract data reports to support business decisions. Ensure compliance with Quality SOP’s and regulations. Challenge and seek opportunities to improve processes and systems to deliver better outcomes. As part of the sales operations team, provide support and back up to other team members to ensure that all tasks and responsibilities are managed effectively.
Key Responsibilities:
- Ensure pricing files are kept up to date with correct pricing and maintained within Eurydice and aligned with current quotes or tenders strictly in accordance with specific local SOPs.
- Ensure pricing requests are aligned with pricing corridors and kept up to date.
- Maintain existing contracts and proactively report on expiry dates 3 months in advance.
- Ensure pricing expiries are notified to sales team, update prices into Pricing management systems, UK and Ireland.
- Maintain system of physical and digital records strictly in accordance with specific local Standard Operating Procedure (SOP).
- Ensure compilation of tender information is completed in the required timeframe and is carried out strictly in accordance with specific local SOPs.
- Maintain Tender map, proactively preparing for future tender submissions
- Provide periodic contract management data to meet framework requirements
- Prepare monthly buying group Management Information and rebate data
- Managing all tender portals, ensuring up to date contract information dealt with and communicated to all relevant stakeholders.
- Deal with general customer enquiries ensuring all relevant parties are kept informed.
- Deal with customers’ product complaints strictly in accordance with specific local SOP
- Responding to all queries from the Sales & Marketing Team in a timely and efficient manner
- Responsible for communicating adverse events or special situations to the pharmacovigilance department within 24 hours and strictly in accordance with specific local Standard Operating Procedure (SOP). Responsible for operating to the instructions contained in all relevant effective SOPs.
- Complete training courses to a satisfactory standard before commencing any task.
- Cross-train within the Sales Ops team to provide seamless coverage during peak periods.
- Perform any other tasks and duties as reasonably requested by the company.
Professional Experience & Knowledge
- Proven work experience as a contract and pricing administrator, contract manager or relevant role (within pharmaceutical sector an advantage)
- Knowledge of legal requirements involved with contracts
- Experienced user in SAP, Sales force, and pricing management systems an advantage
- Strong Excel skills and data analysis
- Attention to detail and accuracy essential
- Excellent planning, organisation and prioritisation skills
- Ability to manage complexity, identify and effectively solve problems
- Must be able to work in accordance with SOP’s and a highly regulated and quality-controlled environment
- Confidently work with varying seniority levels, including sales team, staff, senior managers and external partners
