Aisthetikos Wellness & Medical Aesthetics is looking for a thoughtful, organized, and motivated Operations Clinic Manager to join our growing team in Marda Loop, Calgary.

The Role
The Operations Clinic Manager plays a key role in the day-to-day operation of the clinic while helping strengthen the systems, processes, and team culture that support our continued growth.
You will work closely with clinic leadership, practitioners, administrative team members, vendors, and external partners to help ensure the clinic operates smoothly, communication remains strong, and both patients and team members feel well supported.
The ideal candidate is proactive, collaborative, highly organized, and comfortable balancing daily operational needs with longer-term projects and business priorities.

Key Responsibilities Clinic Operations
- Coordinate the smooth day-to-day operation of the clinic
- Support staff scheduling, coverage, meetings, and operational priorities
- Maintain and improve clinic systems, workflows, checklists, and processes
- Identify opportunities to improve efficiency and patient experience
- Coordinate clinic projects, promotions, events, launches, and training days
- Support inventory management, ordering, vendor coordination, and supply organization
- Maintain compliance with industry regulations and support clinic safety and quality standards
- Help ensure clinic policies, procedures, and operational standards remain current and consistently implemented
Patient Experience
- Help maintain a consistently warm, polished, and professional patient experience
- Support the team with patient questions, concerns, and follow-up
- Ensure calls, emails, inquiries, and other communications are handled thoughtfully and in a timely manner
- Help identify opportunities to improve the patient journey
- Support service recovery and problem-solving when challenges arise
- Help ensure a consistently high standard of patient care across the clinic
Team Support & Leadership
- Act as a supportive operational resource for the clinic team
- Help onboard new team members and coordinate training
- Support clear communication around clinic policies, workflows, priorities, and expectations
- Help foster a collaborative, positive, and accountable team environment
- Coordinate team communication, meetings, and operational follow-up
- Assist leadership with performance tracking, KPIs, and operational reporting
- Support a workplace culture built around teamwork rather than competition
Business Development & Partnerships
- Help coordinate communication with vendors, partners, contractors, and industry representatives
- Build and maintain relationships with industry professionals and local businesses
- Identify potential partnership, sponsorship, and community collaboration opportunities
- Support clinic events, brand initiatives, and local outreach
- Assist with recruitment, interview coordination, onboarding, and employee documentation
- Work collaboratively with bookkeeping, payroll, marketing, medical leadership, and other external professionals as required

We looking for someone who brings a combination of warmth, initiative, organization, leadership, and sound judgment.
Qualifications
- Previous experience in clinic management, medical office administration, operations, hospitality management, or a similar role preferred
- Medical aesthetics, healthcare, wellness, or luxury service experience is an asset
- Relevant post-secondary education in business, healthcare administration, human resources, management, or a related field is an asset
- Experience supporting or leading a team
- Strong written and verbal communication skills
- Excellent organizational and administrative skills
- Comfortable learning and managing clinic software and digital systems
- Experience with scheduling, POS, CRM, or practice-management software is an asset (Zenoti)
- Strong proficiency with Apple, Google Workspace and/or Microsoft Office
- Ability to handle confidential information professionally

Position Details
Schedule: Monday to Friday
Work Location: In person — Marda Loop, Calgary
Compensation: $65,000–$90,000 annually, commensurate with relevant education, experience, and demonstrated leadership and operational skills
