We’re looking for a Sales Operations Coordinator to join our Operations team as a back-office sales order coordinator. You will play a key part in monitoring and trouble-shooting any issues in our automated processing, maintaining our back-office systems, having customer contact where and if required, and improving our service to our customers through your attention to detail, and our processes through the feedback you give to your management and our System teams.

Yoto’s Operations Team
Yoto is growing quickly, and we are looking to hire our first US-based Sales Operations Coordinator. You will be working primarily with our US team but also with the global Operations team, all centered around ensuring our customers’ experience, through the ordering and delivery process, is positive and swift. You are curious, have a sharp eye for detail, are excited about automation and have experience in using multiple processing platforms.
What you’ll be doing:
- Monitoring orders received through our sales platforms (Shopify stores, Amazon Seller Central, EDI) - either running and analyzing your own reports or using pre-set system tools
- Systems housework - frequent checking of our ERP (NetSuite) and platform integration system (Celigo) to check for errors, then correcting to ensure prompt order processing, and assisting in root cause analysis to stop repeat errors - our aim is to remove all manual processing where at all possible
- Manual processing of orders if required
- Acting as point of contact and processing support for Yoto Commercial team and, when required, directly with wholesale/retail customers, to ensure successful fulfillment of B2B orders
- Acting as point of contact for 3rd party fulfillment companies for sales order related issues
- Liaising with Logistics department where required for shipping, or shipment information
- Processing corrective actions (credits, refunds), as required for customers, and resolving relevant email/tickets from internal and external stakeholders
- Checking and curating across all webshops and platforms to ensure accuracy
- Curating, enabling and helping the development of, our Shopify B2B platforms
- Processing staff, partner and direct sales orders, as well as daily support tasks for Sales Operations Manager as advised. Circulating reports to internal teams as required and carrying out responsibilities in line with team training and policy.
What you’ll bring:
- A minimum of 2 years’ experience in a similar sales operations role
- Experience with Shopify Plus back office maintenance and curation, especially B2B
- Experience with NetSuite or similar ERP systems experience
- Proven experience of high volume, fast-moving, automated sales order administration
- Demonstrable experience of team, policy and process development, with a curious nature with an excellent attention to detail
- Openness to automation, and the ability to help us improve our systems - we need to be proactive and involved!
- A service-driven attitude towards all work - ensuring we provide the best service possible, as quickly as possible, to all customers, whether they are external or internal to Yoto
- Comfortable working remotely using a variety of cloud-based software solutions
- A friendly, outgoing, personable with a hands-on mentality, willing to roll your sleeves up, and deliver to agreed targets
- Ability to communicate clearly and effectively across multiple departments
- Self-starter - able to work both independently and collaboratively, as part of a team
- Desired experience:
- Good MS Office skills especially Excel with proven ability to manipulate data (e.g Pivot tables, vlookups, reporting and data presentation)
- Good Google Suite/Workplace knowledge
Salary: $65,000 - $70,000 based on experience.
