About the Role
The Sales Operations Specialist is a key partner to our sales team, ensuring that deal execution, data accuracy, and internal coordination run seamlessly. Reporting to the Senior VP of Client Development, you will take ownership of critical sales support functions, including contract management, CRM oversight, reporting, event coordination, and cross-functional collaboration.
Your role will be instrumental in improving efficiency, enabling sales success, and driving operational excellence in a dynamic, high-growth environment.
The ideal candidate is highly organized, detail-oriented, and proactive in streamlining sales processes.
RESPONSIBILITIES
- Contract and Document Management: Prepare, organize, and manage contracts, proposals, and other sales-related documents.
- Own Sales Orders: Manage the end-to-end sales order process, ensuring completion of supporting documentation, updating internal departments, and interacting with clients as needed.
- CRM & Sales System Management: Maintain and update sales systems, ensuring data accuracy and usability for reporting and forecasting.
- Sales Reporting & Data Management: Collect and analyze sales data, generate reports, and provide insights to leadership team.
- Subscription Renewal Tracking: Monitor and manage subscription renewals, ensuring timely follow-ups and coordination with both clients and internal teams to prevent lapses in service.
- Internal Communication: Act as a liaison between sales and key departments such as finance, production, and customer support to ensure seamless operations.
- Event and Trade Show Coordination: Support the planning and organizing trade shows, conferences, and sales events, including logistics and materials preparation.
- Sales Tools & Content Management: Review and maintain the sales tools and content library, ensuring materials are current, relevant, and accessible through appropriate technology.
- Sales & Marketing Collaboration: Partner with the Marketing team to develop sales assets (e.g., decks, brochures, case studies) to effectively convey solutions and end-user impact.
- Sales Process Improvement: Work closely with the sales team to identify barriers in the sales process and implement solutions to enhance efficiency and effectiveness.
SKILLS & QUALIFICATIONS
- 5+ years of experience in sales support at a high-growth technology company with demonstrated success impacting business outcomes
- Strong administrative and organizational skills with keen attention to detail.
- Excellent communication and coordination abilities.
- Experience in sales enablement, content management, and process improvement is a plus.
- Understanding of subscription-based business models and renewal tracking processes.
- Experience in planning and coordinating trade shows and sales events.
- Proficiency in HubSpot CRM system and contract management tools.
- Experience managing sales documentation, data entry, and reporting.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and other sales support tools.
