Job Summary:
VaughanAir is rapidly growing, and we are looking to add new members to our team! The Business Operations Manager will be a key member of the VaughanAir leadership team who is responsible for leading the Estimating, Project Design, and Account Management teams to drive process, efficiency, accuracy, and customer satisfaction. This role plays a critical part in supporting business growth as the roles direct reports support the manufacturer representative network, outsourced CAD design resources, and the project estimating functions. The ideal candidate is a process-driven leader who is technically inclined and has some experience in manufacturing, project execution, and customer relationship management.

Key Responsibilities:
- Lead and oversee the estimating team to ensure timely and accurate project estimates.
- Develop and refine estimating processes to improve efficiency and pricing accuracy.
- Work closely with sales, engineering, and production teams to align estimates with production capabilities.
- Analyze past estimates and work with the pricing team to improve cost forecasting and margin optimization.
- Manage the relationship with outsourced CAD design firms to ensure high-quality and timely project designs. Establish and maintain clear design standards and processes in line with SMACNA guidelines for HVAC duct and enclosure projects.
- Collaborate with internal teams to ensure designs align with manufacturing feasibility and customer requirements.
- Review design packages to ensure accuracy and completeness.
- Lead the Account Management team in supporting our network of manufacturer representatives with technical and project-related inquiries.
- Work in conjunction with the National and Regional Sales Managers to develop training and support materials to improve the effectiveness of the Account Manager’s support of the rep network.
- Act as a key liaison between internal teams and external sales representatives to ensure smooth project execution.
- Monitor customer satisfaction and drive continuous improvement in customer engagement.

Skills and Qualifications:
- 5+ years of experience in business operations, project management, or a related field within manufacturing, preferably HVAC or related industries.
- Bachelor’s degree in a business or related technical field.
- Strong understanding of estimating, project design, and account management processes.
- Experience developing, refining, and implementing processes
- Experience managing outsourced business services and manufacturer representatives is a plus.
- Understanding of CAD design is a plus.
- Strong leadership skills with the ability to coach, mentor, and develop high-performing teams.
- Excellent analytical, organizational, and problem-solving skills.
- Proficiency in ERP, CRM, and CAD-related tools preferred.
- Strong communication skills and ability to manage cross-functional relationships.
